Don’t just work anywhere — come build tomorrow together with us. The OMERS Private Equity team is hiring an Executive Assistant located in our New York office. The individual will report to a Managing Director and will support him/her and members of his/her team. The Executive Assistant will work independently and perform duties with minimal supervision in accordance with general instruction and standardized procedures.

Requirements

  • 5+ years’ experience supporting a senior individual or teams in a large, international organization.
  • Excellent computer literacy, MS Office Suite experience and digital tools experience including MS Teams, SharePoint etc.
  • The ability to work well under pressure and within tight deadlines, maintaining attention to detail.
  • Demonstrated interpersonal skills and professionalism when partnering with all stakeholders.
  • The ability to prioritize, multi-task, time-manage and work independently with minimal direction.
  • Experience exercising high levels of discretion and judgment to deal with sensitive and confidential materials and matters

Responsibilities

  • Provide a full range of confidential administrative services for a senior leader and his/her team, while ensuring quality service and professionalism at every interaction.
  • Manage, coordinate, and maintain busy calendars with frequently conflicting priorities.
  • Coordinate extensive and sometimes complex domestic and international travel arrangements.
  • Plan and coordinate for onsite and offsite meetings, special functions and events including logistics such as location, meals, technology, communication, materials and RSVPs.
  • Perform general office duties which may include ordering catering, printing documents, document editing, mail distribution, greeting guests, etc.
  • Coordinate meetings and events such as all-team Town Halls, Leadership team meetings, offsites and other department-wide meetings.
  • Proactively recommend enhancements to processes and issues to increase efficiency.
  • Troubleshoot, handle matters expeditiously, and proactively follow-through on projects.
  • Execute and assist with projects and special assignments by establishing objectives, determining priorities, managing time, monitoring progress, problem-solving and adjusting plans as required.
  • Maintain confidentiality with files and presentations and use judgement.
  • Perform a diverse range of complex tasks with autonomy and discretion to make decisions within well-defined parameters.
