About The Position

We're seeking an exceptionally organized and assertive Executive Assistant who will be the operational backbone of the CEO and C-Suite. You'll own meeting management, executive calendar coordination, action item tracking, and accountability-with the authority and judgment to push back on the leadership team when needed. This role exists to eliminate administrative friction, consolidate scattered initiatives, and ensure our executive team stays focused on what matters.

Requirements

  • 5+ years of experience as an Executive Assistant or similar high-level operational support role.
  • Proficiency in Google Suite, expense tools (Ramp), and project management tools (Monday, Asana, or similar).
  • Assertive and unafraid to challenge the C-suite: you lead the meeting agenda and attendees, name priorities, and hold leaders accountable without being combative.
  • Executive-level judgment: you can anticipate what the CEO needs, identify inefficiencies before being told, and make decisions independently (e.g., which meetings should be consolidated, who really needs to attend).
  • Operationally excellent and detail-oriented: you track dozens of moving pieces, flag risks, and follow up relentlessly without being pushy.
  • Skilled communicator: you can brief executives concisely, write crisp agenda-setting emails, and distill complex initiatives into clear tracking.
  • Thrive in fast-moving, ambiguous environments: your north star is organizational efficiency, not rigid process.
  • Bring genuine authority: you're not just scheduling; you're actively managing the cadence, quality, and accountability of executive operations.

Responsibilities

  • Manage the CEO's calendar and executive team meeting portfolio: consolidate overlapping meetings, flag calendar conflicts, enforce meeting hygiene (clear agendas, defined attendees, explicit deliverables).
  • Organize and facilitate executive team meetings: coordinate agendas, define attendees and decision authorities, assign action items, determine owners and deadlines.
  • Track executive team action items and deliverables: maintain a live action log, flag missed or overdue items, follow up with owners, report blockers.
  • Hold the executive team accountable: own the rhythm of follow-up, escalate stalled items, and push back when commitments aren't met or rigor is lacking.
  • Submit and process CEO expenses: manage in Ramp, reconcile promptly, ensure policy compliance.
  • Provide strategic administrative support: research, data gathering, presentation prep, stakeholder coordination as needed to remove administrative burden from the CEO and COO.
  • Organize cross-functional executive initiatives: track workstreams, deadlines, interdependencies, and ownership when the CEO launches strategic projects.
  • Handle ad hoc tasks and special projects as the CEO prioritizes them week to week.
