We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to Partners within our accounting practice. This role blends high-level executive assistance with administrative and client service coordination, serving as a trusted partner in managing client relationships, workflows, and daily operations across Partner portfolios. The ideal candidate thrives in a fast-paced professional services environment, demonstrates exceptional judgment and discretion, anticipates needs proactively, and brings structure and efficiency to complex, deadline-driven work.

Requirements

  • 3–5+ years of experience in an executive assistant, administrative, or professional services support role (accounting firm experience preferred)
  • Strong understanding of accounting firm operations (engagement letters, billing cycles, client workflows)
  • Exceptional organizational and time management skills
  • Ability to manage multiple priorities and deadlines with minimal supervision
  • Strong written and verbal communication skills
  • High attention to detail and accuracy
  • Discretion and professionalism in handling confidential information
  • Proficiency in Microsoft Office Suite and practice management systems

Responsibilities

  • Manage Partner calendars, inboxes, and communications; prioritize demands and resolve scheduling conflicts
  • Coordinate meetings end‑to‑end, including materials, agendas, and follow‑ups
  • Prepare Partners through regular briefings on priorities, deadlines, and action items
  • Coordinate travel, expenses, and day‑to‑day administrative needs
  • Act as a liaison across Partners, clients, and internal teams
  • Prepare and format client deliverables, including reports, presentations, and correspondence
  • Support RFPs and engagement administration in line with firm processes
  • Maintain accurate client records and monitor engagement timelines and deliverables
  • Assist with WIP reviews, billing, and draft invoices
  • Track billing status and support follow‑ups on outstanding items
  • Coordinate administrative compliance (e.g., timesheets)
  • Manage workflows, track requests, and support process improvements
  • Prepare and quality‑check client-facing documents and materials
  • Maintain compliant digital filing systems and manage document release processes
  • Undertake additional responsibilities as assigned to support evolving business needs
