About The Position

Ecolab is seeking an Executive Assistant who thrives in a fast‑paced environment, enjoys problem‑solving, and excels at keeping complex operations running smoothly. As the Executive Assistant to the Global Institutional Marketing & Business Operations leadership team, you will provide high‑level administrative, project, and coordination support while serving as a trusted liaison to internal and external stakeholders. You will anticipate changes, adapt priorities, and ensure seamless execution of schedules, meetings, travel, and communications.

Requirements

  • High school diploma or GED
  • 5 years of office or administrative support experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
  • Immigration sponsorship not available for this role

Nice To Haves

  • 5 years of executive administrative experience, ideally supporting marketing or commercial leaders
  • Demonstrated initiative and ability to work independently
  • Excellent organizational, prioritization, and problem‑solving skills in a fast‑paced environment

  • Excellent attention to detail with the ability to manage multiple priorities

Responsibilities

  • Manage the executive team's calendars, prioritizing meetings, travel, and events aligned with business goals
  • Schedule meetings, coordinate travel, and anticipate changes to ensure seamless daily operations
  • Handle correspondence, emails, and communications on behalf of the executive team
  • Screen and manage communications, ensuring timely follow‑up and decision tracking
  • Prepare, edit, and organize agendas, briefing materials, executive‑level presentations, reports, and other materials to support leadership meetings and key engagements
  • Prepare and organize meeting materials, take notes, and follow up on action items
  • Organize and support leadership meetings, internal meetings, team events, offsites, and customer events, ensuring all logistics are handled with precision
  • Act as a trusted liaison between executives, cross‑functional teams, and other Executive Assistants to foster collaboration and alignment
  • Filter and prioritize information shared with the executive team members to ensure focus on key priorities and issues
  • Proactively identify and resolve workflow challenges, driving process improvements that enhance efficiency and support sales outcomes
  • Lead and coordinate special projects and initiatives from inception through completion
  • Identify and address core issues within business processes and make actionable recommendations
  • Maintain sensitive records and handle confidential information with discretion, professionalism, and a high level of trust
