About The Position

Serves as the administrative and functional point person for the President & CEO’s business, community and personal matters to ensure smooth functioning of activities and processes in multiple lines of business. Requires full time availability and flexible hours. Requires a desire to learn and expand responsibilities. Assistant will have an opportunity to learn about all aspects of the work and operations of this logistics and supply chain organization. Requires strong organizational skills and MS Office Suite literacy.

Requirements

  • Minimum of a High School diploma or its equivalent.
  • Minimum of 5+ years executive level support experience
  • Ability to type at least 50 wpm
  • Must be Computer literate: MS Office skills (intermediate to advanced skills using Word, Excel, PowerPoint and Outlook)
  • Must be able to pass an intermediate skills test including: Computer knowledge, math, proof-reading, filing and MS PowerPoint, Excel and Word
  • Must be able to work in a fast paced, high stress operation with high standards of excellence
  • Telephone management skills; excellent telephone etiquette
  • Must have experience with complex scheduling and calendar management
  • Ability to navigate the Internet and Social Media
  • Strong organizational, interpersonal and listening skills
  • Ability to think and communicate clearly and in context
  • High level of professionalism and confidentiality
  • Ability to prioritize and manage multiple projects simultaneously and complete in a timely manner

Nice To Haves

  • Technical college, professional certification and/or college education a plus

Responsibilities

  • Coordinates and maintains President/CEO’s schedule. Including scheduling appointments, prioritizing and coordinating meetings and making travel arrangements
  • Organizes and maintains President/CEO’s office, paper and electronic files, social media accounts and including but not limited to personal files
  • Prepares President/CEO for meetings, ensuring that he has all needed materials and information
  • Assists with communications, including opening, reviewing and prioritizing mail, making and returning telephone calls on his behalf, and drafting, for his approval, correspondence to board, chairman, executives, customers and other business leaders.
  • Prepares court documents and reports in support of Receivership activities
  • Maintains and keeps current key organizational materials including board/customer/employee lists, manuals, periodicals, letterhead and business and personal contacts
  • Assists Director of Administrative Services with quarterly Board meetings; meeting material and presentation
  • In coordination with Director of Administrative Services, assists with community services initiatives, office meetings and lunches and general office support
  • Serves as phone back-up to the office Administrative Assistant
  • Other duties as assigned from time to time
