About The Position

UF Resources is a long-established, growing company in the financial and estate planning space, and we are seeking a dedicated, reliable Executive Assistant to support our home office leadership and recruiting team. This is a full-time, on-site role for someone who is organized, tech-savvy, and eager to grow with a stable, expanding organization. The Executive Assistant will provide high-level administrative support to the home office and recruiting functions, with a strong focus on onboarding and offboarding W-2 employees and 1099 contractors, coordinating documentation, and keeping key processes running smoothly. This role is ideal for someone who is comfortable wearing multiple hats, can pivot to assist different departments as needed, and enjoys improving workflows. You should be comfortable with technology and AI tools, able to think outside the box, and excited to help streamline processes, enhance efficiency, and support leadership in a proactive way.

Requirements

  • Proven reliability, professionalism, and strong follow-through.
  • Experience in an executive assistant, administrative, operations, or HR-support role.
  • High comfort level with technology (Microsoft Office, web-based platforms; experience with CRMs/ATS/NetSuite or similar is a plus).
  • Openness to working with AI tools and new tech to streamline tasks and solve problems creatively.
  • Exceptional organizational skills and attention to detail; ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills, with a polished and professional demeanor.
  • Willingness to step in and support different departments as business needs evolve.

Nice To Haves

  • experience with CRMs/ATS/NetSuite or similar is a plus

Responsibilities

  • Support the home office and recruiter with onboarding and offboarding for W-2 employees and 1099 independent contractors (documents, checklists, follow-up, and coordination).
  • Prepare, organize, and maintain electronic records, forms, and contracts to ensure accuracy and completeness.
  • Coordinate schedules, meetings, and follow-ups for leadership and recruiting, helping keep priorities and deadlines on track.
  • Assist various departments with administrative and operational tasks as needs arise, ensuring consistent workflow throughout the company.
  • Use technology, software tools, and AI-based solutions to improve efficiency, documentation, and communication.
  • Handle confidential information with professionalism, discretion, and high integrity.
