About The Position

Sutter Medical Group (SMG) is currently seeking a dynamic Executive Assistant to join our Administrative Services team. Based out of our Sacramento (Natomas) office, this position is hybrid, combining in‑person and remote work. The Executive Assistant supports SMG leadership teams, departments, and committees with the full range of administrative functions required by a robust, multi‑layered medical group.

  • Ability to manage timelines, deliverables, dependencies, and follow‑up across executive, service line, and departmental initiatives.
  • Experience supporting governance cycles, committees, or cross‑functional projects from initiation through completion.
  • Ability to create project plans, track milestones, identify risks, and communicate status updates to leadership.
  • Comfort working in environments with ambiguity, evolving scope, and multiple stakeholders.
  • Associate’s Degree or equivalent in Business Management or related field and/or four years of progressive administrative experience; or a combination of education and experience.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint). Experience with Adobe products and survey tools preferred.
  • Demonstrated experience supporting senior‑level leaders in a complex, matrixed organization.
  • Demonstrated experience coordinating projects, committees, or initiatives with multiple stakeholders.
  • Ability to work occasional early/late hours and travel locally as needed.
  • Must live within a commutable distance to Sacramento and work onsite 2–3 days per week.

Nice To Haves

  • Formal or informal training in project management methodologies (e.g., Lean, Agile, PMP, CAPM) preferred but not required.
  • Healthcare or medical group experience preferred.

Responsibilities

  • Partner with clinician administrators (C‑level executives, Senior Medical Group Leadership, etc.) to ensure achievement of administrative tasks and strategic objectives.
  • Establish and follow protocols and practices ensuring compliance with department and group standards, policies, and applicable regulations.
  • Take a strategic and tactical approach in identifying best practices, standardizing workflows, and implementing process improvements.
  • Identify, define, and analyze administrative, operational, and programmatic issues and develop actionable recommendations.
  • Provide high‑level administrative support including complex calendaring, scheduling, meeting preparation, minutes, and time/expense reporting.
  • Plan, coordinate, and run meetings (in‑person and virtual), including pre-work, materials, logistics, and post-meeting follow-up.
  • Support onboarding of new clinicians and administrative team members.
  • Assist with communications including creating, editing, proofing, and finalizing correspondence, reports, and presentations.
  • Facilitate administrative programs and processes including audits, reporting, and tracking of measures/metrics.
  • Exercise independent judgment, discretion, and originality in resolving recurring or unusual administrative challenges.
  • Work independently and collaboratively on day‑to‑day operations and strategic initiatives.
  • Maintain confidentiality and professionalism in all interactions.
  • Other duties as assigned.
