About The Position

The Executive Assistant provides comprehensive support to our senior executives. This role goes beyond traditional administrative tasks, requiring a strategic thinker who can help drive key initiatives, manage complex projects, and contribute to organizational decision-making. The Executive Assistant possesses exceptional organizational skills, business acumen, and the ability to anticipate the needs of leadership while maintaining the highest level of confidentiality and professionalism. The perfect fit will provide support across multiple functional areas: marketing, business development, operations, and administrative systems by the eloquent use of Mission Yogurt's procedures, policies, and by monitoring company projects.

Requirements

  • 3 years of proven experience as an Executive Assistant, Personal Assistant, or in a similar role supporting senior leadership.
  • Exceptional organizational, time management, and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, and other productivity tools.
  • Ability to remain calm under pressure and adapt to changing priorities.
  • Discretion and professionalism when handling confidential information.
  • Availability to occasionally work outside standard business hours or travel as needed.
  • Ability to maintain a high level of confidentiality
  • Ability to anticipate needs and be proactive in resolving difficulties
  • Excellent written and verbal communication skills
  • Proficient knowledge of MS Office and Google Workspace
  • Ability to multitask, prioritize, collaborate and work independently

Nice To Haves

Responsibilities

  • Manage complex executive calendars, prioritizing and scheduling meetings with internal and external stakeholders.
  • Arrange detailed travel itineraries, accommodations, and logistics for domestic and international travel.
  • Organize and facilitate leadership meetings, including setting agendas, tracking action items, and ensuring follow-up is completed.
  • Manage and respond to executive emails and correspondence requiring immediate or timely attention.
  • Draft and review executive correspondence, communications, reports, and other business materials.
  • Prepare and edit presentations, board materials, and key business reports.
  • Support executives by completing, printing, signing, and delivering time-sensitive documents to the appropriate parties.
  • Act as a liaison between executives and internal and external stakeholders to ensure seamless communication and alignment on priorities.
  • Serve as a trusted representative of Executive Leadership and maintain strong relationships with key partners.
  • Provide high-level administrative and organizational support to Executive Leadership.
  • Manage and coordinate schedules, meetings, travel, correspondence, and other executive priorities.
  • Maintain organized records, documents, reports, and other materials as needed.
  • Coordinate the timely completion and delivery of documents and information requiring executive attention.
  • Assist with personal errands and deliveries to restaurant locations as needed.
  • Anticipate executive needs and proactively address administrative requests and priorities.
  • Oversee high-level projects, ensuring timelines, deliverables, and key objectives are met.
  • Partner with executives to develop and execute strategic initiatives aligned with business objectives.
  • Assist in setting priorities, managing strategic projects, and tracking progress toward key goals.
  • Conduct research, analyze data, and prepare reports and materials to support executive decision-making.
  • Coordinate cross-functional collaboration and facilitate strategic planning sessions.
  • Identify opportunities to improve executive workflows, processes, and overall efficiency.
  • Develop and implement process improvements that support organizational effectiveness.
  • Provide project coordination and follow-up to ensure strategic initiatives remain on track.
  • Serve as a central point of communication between Executive Leadership and internal and external stakeholders.
  • Coordinate cross-functional communication and collaboration to ensure priorities, expectations, and deadlines are clearly understood.
  • Track action items, outstanding requests, and follow-up needs to ensure timely completion.
  • Build and maintain strong working relationships with employees, business partners, vendors, and other key stakeholders.
  • Represent Executive Leadership with professionalism, discretion, and sound judgment.
