About The Position

The Executive Assistant to the President provides high-level administrative and operational support to the President while helping ensure the efficient day-to-day operations of the Washington, DC office. This role manages complex scheduling, travel, executive communications, office operations, and other organizational priorities in a fast-paced, mission-driven environment. The ideal candidate is highly organized, proactive, exercises sound judgment, and handles confidential information with the utmost discretion. This position is based in Washington, DC, and is a full-time, in-person role.

Requirements

  • Bachelor's degree or an equivalent combination of education and relevant experience.
  • 5+ years of experience providing executive-level administrative support, preferably to a C-suite executive, President, or CEO.
  • Experience managing office operations, facilities, or workplace administration.
  • Exceptional organizational skills with the ability to prioritize multiple projects and deadlines in a fast-paced environment.
  • Strong written and verbal communication skills with exceptional attention to detail.
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
  • Strong interpersonal skills with the ability to build relationships across all levels of an organization and with external stakeholders.
  • Proficiency with Microsoft Office Suite and Google Workspace; experience with project management and collaboration tools is a plus.
  • Ability to work independently while anticipating needs and solving problems proactively.
  • Availability to work full-time in person from the Washington, DC office.

Responsibilities

  • Provide high-level administrative support to the President, managing day-to-day priorities and ensuring the efficient execution of executive responsibilities.
  • Manage and maintain a complex calendar, scheduling meetings, appointments, and events while balancing competing priorities.
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and expense reconciliation.
  • Prepare meeting agendas, presentations, briefing materials, reports, and other executive documents.
  • Screen and prioritize incoming communications, responding or redirecting inquiries as appropriate.
  • Serve as a liaison between the President, staff, Board members, external partners, and other stakeholders.
  • Handle highly confidential and sensitive information with discretion and professionalism.
  • Track action items and follow up on deadlines to ensure timely completion of executive priorities.
  • Oversee the day-to-day operations of the Washington, DC office to ensure a professional, organized, and welcoming work environment.
  • Manage and regularly check incoming office mail and deliveries, ensuring correspondence and materials are appropriately sorted, distributed, and addressed in a timely manner.
  • Provide light office IT and technology support, including assisting with basic troubleshooting, coordinating equipment setup.
  • Coordinate office maintenance, vendor relationships, building management, and service requests.
  • Manage office supplies, equipment, and inventory, ensuring resources are available and operational.
  • Coordinate office logistics for meetings, visitors, and events.
  • Assist with onboarding logistics for new employees, including workspace setup and office orientation.
  • Support workplace safety, security, and office policies and procedures.
  • Provide administrative support for organizational initiatives and special projects led by the President.
  • Coordinate cross-functional meetings and assist with project tracking and follow-up.
  • Maintain organized electronic and physical filing systems.
  • Support expense reporting, invoice processing, and other administrative functions as needed.
  • Identify opportunities to improve administrative processes and office operations.
  • Foster positive relationships with internal staff, external partners, vendors, and visitors.
  • Represent the President and the organization with professionalism, diplomacy, and excellent customer service.
  • Support the planning and execution of meetings, retreats, and organizational events.
  • Ability and willingness to travel approximately 40–50% of the time to represent the organization at funder and donor meetings, conferences, partner convening, Board meetings, organizational events, and other strategic engagements.
  • Frequent domestic and overnight travel is expected, with occasional evening and weekend commitments as needed.
  • Perform other duties and special projects as assigned to support executive leadership and organizational priorities.
  • This role supports the organization's fundraising and development efforts by coordinating executive engagement with donors, funders, and strategic partners. The Executive Assistant helps prepare meeting materials, manage schedules, and facilitate logistics for fundraising-related activities. By ensuring seamless coordination and communication, this position plays an important role in supporting the organization's long-term sustainability.
