About The Position

Greenbrook Medical is seeking an Executive Assistant to support its Cofounder & Chief Medical Officer. This role is crucial for helping the executive focus on high-impact work by managing complex calendars, high-volume communications, and projects. A unique aspect of this position is the requirement for a genuine in-person presence at Greenbrook's clinics and across the Tampa Bay area to handle tasks that cannot be done remotely, such as processing mail, being present for signatures, deliveries, and vendor visits, and representing the Cofounder on-site. The role is fast-paced, collaborative, and requires a high degree of responsiveness and proactive engagement. The Executive Assistant will report directly to the Cofounder & Chief Medical Officer and will be responsible for ensuring priorities are translated into action, time is protected for critical tasks, and decisions are made regarding competing demands. The position is based in Tampa, FL, and requires local residency with regular in-person presence at various clinic locations.

Requirements

  • 5+ years of experience supporting a senior executive, ideally in a fast-paced healthcare, startup, or growth environment.
  • Genuine comfort being on-site regularly and traveling locally between multiple locations (clinics, office) as a core part of the job, not an occasional exception.
  • Exceptional organizational skills and the ability to manage many competing priorities without losing important details.
  • Strong judgment and the confidence to make difficult prioritization and scheduling decisions on behalf of an executive.
  • A highly proactive working style — you anticipate needs rather than waiting to be asked.
  • Exceptional written and verbal communication skills, with the ability to be clear, concise, and appropriately direct.
  • A high level of responsiveness and comfort managing significant volume across email, Slack, and other communication channels.
  • Strong follow-through and a track record of getting things done.
  • The ability to build trust quickly and work effectively with physicians, executives, and teams across an organization.
  • Discretion and sound judgment when handling confidential or sensitive information.
  • A valid driver's license and reliable transportation for regular travel between sites.

Responsibilities

  • Manage the calendar with a strong point of view on priorities, making thoughtful tradeoffs when competing requests arise.
  • Triage a high volume of email and messages daily, quickly identifying what needs the Cofounder's attention versus what can be handled or delegated.
  • Anticipate scheduling conflicts and resolve them proactively before they become problems.
  • Track commitments, follow-ups, and action items to make sure important work keeps moving and nothing falls through the cracks.
  • Follow up with stakeholders and hold people accountable to deadlines when needed.
  • Prepare the Cofounder for meetings by ensuring he has the right context, materials, and information ahead of time.
  • Check and process corporate mail on a regular basis, handling or routing items directly rather than waiting for them to be forwarded.
  • Travel to Greenbrook clinics and other local sites to handle anything that requires someone there in person — signatures, deliveries, vendor check-ins, drop-offs and pick-ups, and similar hands-on needs.
  • Represent the Cofounder at in-person meetings, site visits, or errands when his own presence isn't required but someone needs to be there on his behalf.
  • Serve as a reliable point of physical presence for anything that can't be resolved over email or phone.
  • Coordinate across clinical, operations, people, and other teams to keep priorities aligned and work moving.
  • Communicate clearly, professionally, and promptly on behalf of the Cofounder.
  • Build strong relationships across Greenbrook and serve as a trusted, highly responsive point of contact.
