Flash is looking for a Executive Assistant to the Chief Business Officer to help deliver on our mission to free consumers from the hassles of everyday travel by making it faster and easier to get where you need to go, so they can focus on the destination. The Executive Assistant to the Chief Business Officer is a high-trust partner supporting the Chief Business Officer (CBO) and the broader organization across Real Estate, Marketing, and key cross-functional initiatives. This role extends beyond traditional administrative support, encompassing calendar management, meeting preparation, research, event coordination, and project execution. This individual will play a critical role in improving operating velocity, ensuring strong follow-through, and enabling the CBO organization to operate with precision, professionalism, and efficiency in a fast-paced environment.

Requirements

  • Strong calendar and scheduling management across complex, senior-level stakeholders
  • Proficiency in preparing executive-ready materials, briefings, and communications
  • Solid project coordination and task tracking capabilities
  • Experience organizing documentation, trackers, and workflows
  • Ability to conduct research and synthesize information into clear insights
  • Experience supporting event logistics and execution
  • High judgment, discretion, and professionalism
  • Strong sense of ownership and follow-through
  • Excellent organizational skills and attention to detail
  • Ability to prioritize and adapt in a fast-moving environment
  • Collaborative mindset with strong cross-functional communication
  • Proactive problem-solving and ability to anticipate needs
  • 5+ years of experience in executive support, executive operations, project coordination, or similar role
  • Experience supporting senior executives in a fast-paced environment
  • Strong written and verbal communication skills
  • Proven ability to manage complex scheduling and coordination
  • Experience working cross-functionally across teams
  • Comfortable preparing research, briefings, and executive-level materials

Responsibilities

  • Manage the CBO’s calendar with strong judgment around prioritization, sequencing, and meeting readiness
  • Coordinate internal and external meetings with senior stakeholders, including executives, customers, partners, and investors
  • Prepare agendas, briefing materials, and background notes for key meetings
  • Track action items and ensure consistent follow-through across workstreams
  • Coordinate travel, expenses, and administrative logistics
  • Support limited personal scheduling to maximize the CBO’s focus on strategic priorities
  • Support day-to-day operating cadence across Real Estate, Marketing, Sales, and other teams
  • Assist with account research, stakeholder mapping, and meeting preparation for priority initiatives
  • Organize and maintain documents, trackers, and working files
  • Help ensure timelines, deliverables, and internal coordination stay on track
  • Prepare summaries, notes, and materials to keep workstreams moving
  • Support planning and execution of events, conferences, offsites, and executive meetings
  • Coordinate logistics, materials, scheduling, and attendee management
  • Partner with internal and external stakeholders to ensure high-quality execution
  • Support event-related activities before, during, and after events
  • Drive execution on special projects led by the CBO
  • Manage multiple parallel workstreams with minimal oversight
  • Identify risks, gaps, and priorities proactively
  • Bring structure, organization, and accountability to fast-moving initiatives
  • Support ad hoc needs to improve responsiveness and reduce operational friction
