About The Position

Brabo is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Vice President of Sales and help drive operational excellence across the sales organization. This role is ideal for someone who thrives in a fast-paced environment, enjoys solving problems, and takes pride in keeping teams organized, informed, and moving forward. The Executive Assistant will play a critical role in supporting sales leadership, coordinating schedules and networking opportunities, assisting with onboarding and operational processes, preparing client and internal materials, and serving as a bridge between the Sales and Operations teams.

Responsibilities

  • Manage and coordinate the Vice President of Sales’ calendar, meetings, appointments, and priorities
  • Assist in scheduling and populating networking events, chamber events, BNI meetings, and business development opportunities for the Sales team
  • Prepare agendas, documents, and materials for leadership meetings, sales meetings, and one-on-one meetings
  • Attend meetings when needed to take notes, track action items, and assist with follow-up
  • Provide day-to-day administrative support to Sales leadership
  • Prepare, send, and track sales proposals and supporting documents
  • Review sales orders and submitted documentation for completeness and accuracy
  • Assist with onboarding-related administrative tasks for new clients
  • Pull payroll and HR reports for onboarding and implementation purposes
  • Assist with state registrations and related compliance documentation
  • Coordinate internally with Operations, Payroll, Benefits, HRIS, and Service teams to ensure smooth client transitions
  • Assist in training Sales team members on company systems, workflows, and internal processes
  • Help document, organize, and improve sales and onboarding procedures
  • Maintain updated process documentation and internal reference materials
  • Support the development and organization of sales collateral, presentations, and training resources
  • Serve as a liaison between the Sales and Operations teams to improve communication and accountability
  • Help ensure tasks, client requests, and internal follow-ups are completed in a timely manner
  • Support leadership with reporting, organization, and process management initiatives
