About The Position

Marketech International Corporation USA (MICU) is seeking a highly organized and proactive Executive Assistant to support our Chief Operating Officer (COO). This role goes beyond traditional executive support and requires strong project coordination and project management capabilities. The ideal candidate will thrive in a fast-paced environment, manage multiple priorities, and serve as a key liaison among internal teams, vendors, and external stakeholders.

Requirements

  • Bachelor's degree or equivalent work experience.
  • 3+ years of experience in executive support, project coordination, project management, or a related role.
  • Demonstrated experience managing multiple projects simultaneously.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, and Word).
  • Ability to work independently while effectively managing competing priorities.
  • Strong problem-solving and follow-through skills.

Nice To Haves

  • Project management experience in engineering, construction, manufacturing, semiconductor, or technology environments.
  • Experience coordinating with cross-functional and multicultural teams.
  • Bilingual proficiency in English and Mandarin Chinese is a plus.

Responsibilities

  • Manage the COO's calendar, meetings, and travel arrangements.
  • Prepare meeting agendas, presentation materials, reports, and follow-up action items.
  • Screen and prioritize communications, correspondence, and requests.
  • Coordinate executive meetings and maintain accurate records of discussions and decisions.
  • Handle confidential information with professionalism and discretion.
  • Coordinate cross-functional projects and track progress to ensure deadlines and deliverables are met.
  • Follow up with internal departments and external partners regarding project status and action items.
  • Maintain project schedules, timelines, and reporting dashboards.
  • Identify potential risks, bottlenecks, or delays and escalate issues as appropriate.
  • Assist in developing and improving project processes and operational workflows.
  • Support special initiatives and strategic projects assigned by the COO.
  • Prepare reports, analyze data, and compile information for executive decision-making.
  • Coordinate logistics for company meetings, events, and leadership activities.
  • Assist with vendor communications and document management.
  • Support additional administrative and operational tasks as needed.
