About The Position

The Executive Assistant to the Chief Investment Officer (CIO) is a trusted partner responsible for managing the CIO’s time, priorities, and incoming requests with sound judgment. This role involves representing the CIO in communications, organizing commitments, and handling highly confidential financial, investment, and legal information with discretion. The Executive Assistant works independently in close coordination with the CIO.

Requirements

  • Bachelor’s degree in Business Administration, Management, or related field.
  • Minimum of 5 years of experience in an executive assistant or project management role.
  • Strong organizational, time management, and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in project management software and tools.
  • Ability to work independently and as part of a team.
  • Strong problem-solving and decision-making abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Responsibilities

  • Provide comprehensive administrative support to the CIO, including scheduling meetings, managing calendars, coordinating travel arrangements, and preparing expense reports.
  • Prepare, format, and quality-check correspondence, reports, presentations, and other documents.
  • Prepare agendas, meeting plans, slide decks, and necessary meeting information.
  • Safeguard sensitive financial, investment, and legal information at all times.
  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist with the preparation of materials for board meetings, Investment Committee meetings, and other executive sessions.
  • Coordinate logistics and events for the CIO and teams reporting to the CIO (F&A and IT).
  • Serve as the first point of contact for internal and external communications on behalf of the CIO, responding independently within agreed boundaries.
  • Manage incoming and outgoing communications, including emails, phone calls, and mail.
  • Coordinate with outside investment advisors, investment managers, bank representatives, and lenders on the CIO’s behalf.
  • Identify accountabilities and by-when dates/deadlines that support the CIO’s commitments, both internally and externally.
