Requirements

  • 3+ years in an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role.
  • Experience supporting founders, executives, or business owners.
  • Exceptional organization, attention to detail, and follow-through.
  • Strong written and verbal communication skills.
  • Comfortable making decisions independently and solving problems proactively.
  • Able to juggle multiple priorities without sacrificing quality.
  • Tech-savvy with the ability to quickly learn new systems.

Nice To Haves

  • Real estate experience or familiarity with industry terminology is highly valued.
  • Fluent in both English and Spanish is preferred.

Responsibilities

  • Own executive calendar management, scheduling, inbox organization, and daily priorities.
  • Drive projects from kickoff to completion, ensuring nothing falls through the cracks.
  • Follow up proactively with team members, vendors, and clients until commitments are completed.
  • Handle administrative tasks quickly, accurately, and independently.
  • Coordinate meetings, agendas, notes, and action items.
  • Prepare reports, presentations, spreadsheets, and business documents.
  • Document processes and continuously improve operational systems.
  • Identify inefficiencies and implement smarter workflows.
  • Manage confidential information with professionalism and discretion.
  • Answer client and vendor calls with confidence and excellent communication.
  • Assist with occasional errands or special projects as needed.
  • Track project progress and KPIs, providing consistent updates to leadership.
