About The Position

The Executive Assistant provides high-level administrative and strategic support to senior executives and leadership teams, ensuring seamless day-to-day operations for the Strategy & Operations team (VP-level roles).

Requirements

  • Minimum 2+ years of experience as an Executive or Administrative Assistant
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience working in large, complex organizations with significant stakeholder interaction
  • Exceptional organizational skills with a high degree of autonomy and a proactive, solution-oriented mindset
  • Strong attention to detail and high level of discretion when handling confidential information
  • Ability to operate effectively in a fast-paced, high-change environment
  • Excellent time management, communication, and presentation skills

Responsibilities

  • Provide senior-level administrative, calendar, and time management support to one or more senior executives
  • Exercise discretion, confidentiality, sound judgment, and organizational knowledge to effectively support executive priorities
  • Manage complex calendars by prioritizing meetings, resolving conflicts, and ensuring alignment with daily, weekly, and strategic objectives
  • Coordinate meetings and events, including logistics, materials, minutes, offsites, and external functions
  • Manage incoming and outgoing communications, including emails, calls, reports, and internal correspondence
  • Prepare, gather, and validate information for executive communications, presentations, reports, speeches, and meeting materials
  • Coordinate travel arrangements, including flights, accommodations, transportation, and detailed itineraries
  • Process expense reports and maintain accurate records of expenditures and billing
  • Act as a key liaison and gatekeeper for internal and external stakeholders, including vendors, colleagues, and clients
  • Identify and support administrative process improvements while ensuring alignment with global policies and controls
  • Support risk, compliance, AML/ATF, and business continuity requirements, including acting as the Business Continuity Plan (BCP) coordinator when required
