The Executive Manager, Strategy & Operations, serves as a strategic business partner to the Chief Administrative Officer (CAO) and Executive Leadership Team. This role provides high-level operational, project management, and executive support to ensure the successful execution of organizational priorities, growth initiatives, and enterprise-wide strategic objectives. Reporting directly to the CAO, the Executive Project Manager acts as an extension of the executive office by coordinating cross-functional projects, managing critical business initiatives, supporting sales and business development activities, overseeing brand and conference strategy, and ensuring seamless communication across departments. The role requires exceptional organizational, analytical, and relationship management skills, with the ability to balance strategic planning and hands-on execution. The ideal candidate possesses strong project management skills, executive presence, business acumen, marketing creativity, analytical capabilities, and the ability to transform complex clinical, operational, financial, and technology information into compelling presentations, proposals, and communication materials. This role is designed to provide operational continuity, increase organizational capacity, and support the continued growth of the PonosCare entities across Illinois, Virginia, New Jersey, and future markets.

Requirements

  • Bachelor’s degree in Business Administration or Healthcare Administration, Organizational Leadership or a related field required.
  • Minimum 5 years of project management experience.
  • Minimum 3 years supporting executive leadership.
  • Excellent tech literacy and expansion of knowledge when needed.
  • Excellent judgement under pressure and prioritizing.
  • Excellent ability to execute when everything is high priority.
  • Experience managing conferences and corporate events.
  • Experience developing executive presentations and proposals.
  • Experience developing operational reports, dashboards, and data visualizations
  • Demonstrated ability to manage multiple high-priority deliverables simultaneously in a face-paced environment.
  • Microsoft PowerPoint (Advanced), Microsoft Excel (Advanced), Microsoft Word (Advanced), Microsoft Teams, Microsoft 365 (Required)

Responsibilities

  • Manage enterprise-wide strategic projects and initiatives.
  • Coordinate executive action plans and implementation activities.
  • Maintain project plans, timelines, and deliverables.
  • Develop executive dashboards and status reports.
  • Track organizational priorities and escalation items.
  • Support implementation and go-live preparation of new client contracts and operational initiatives, including cross-functional coordination.
  • Maintain documentation and version control for key organizational policies, procedures, and operational SOPs.
  • Support proposal development and client/prospective client data and information requests, including coordinating input from internal teams and formatting final deliverables
  • Develop capabilities presentations, executive sales decks, and client-facing materials (including presentations, implementation charts, flowcharts, and leave-behinds).
  • Coordinate business development follow-up activities and track implementation milestones.
  • Assist with preparation for client and prospective client meetings.
  • Lead planning and execution for Industry Conferences, and Client Events
  • Support Provider Events as coordinated by Provider Relations
  • Support Community Outreach Programs as coordinated by Clinical or Outreach
  • Help develop materials for leadership conferences
  • Responsibilities include Venue coordination, Registration management, Speaker support, Conference materials, Sponsorship management, Event logistics, and post-event reporting.
  • Develop executive-level presentations and documentation for: Existing and prospective client meetings and follow-up packets, Board Meetings, Investor Meetings, and Strategic Planning Sessions
  • Transform complex data into visually compelling presentations.
  • Develop reports and dashboards related to: program performance metrics, member outcomes tracking, contract deliverable compliance, conference and event effectiveness, and new client/new business proposal activity
  • Create and maintain dashboards and executive reports to support leadership decision-making across operational and financial workstreams.
  • Monitor key performance indicators tied to organizational priorities and flag trends or gaps that require attention.
  • Support ad-hoc data pulls and analysis requests from internal teams, including executive/CEO, finance, and sales.
  • Support the Chief Administrative Officer by: Managing action item tracking, Coordinating executive deliverables, Coordinating with external legal and actuarial partners on deliverables, timelines, and document review, Tracking contracts and Memorandums of Understanding, Supporting licensing and insurance documentation, and Maintaining document/presentation/proposal libraries and templates
  • Support leadership meeting preparation, including agendas, materials, and follow-up tracking
  • Coordinating cross-functional workstreams and internal deadlines across clinical, finance, IT, and operations
  • Managing version control and organization of key organizational documents, templates, and executed agreements
  • Supporting implementation and go-live coordination for new client contracts
