Requirements

  • Time Zone: Pacific Standard Time (PST)
  • Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m.
  • Industry: Family Law
  • Previous Executive Assistant experience performing similar responsibilities is required
  • Experience managing calendars, appointments, meetings, and executive communications is required
  • Experience handling administrative support in a professional environment is required

Responsibilities

  • Ensure deadlines, meetings, and important commitments are properly tracked and managed
  • Monitor email communications and prioritize important matters
  • Coordinate and book meeting locations as needed
  • Manage and maintain the executive’s calendar, meetings, and daily schedule
  • Identify opportunities to improve workflows and administrative processes
  • Utilize Claude and other available tools to support reporting and data analysis
  • Maintain accurate records and information within Clio and Lawmatics
  • Handle inbound and outbound phone communications professionally
  • Track action items and ensure timely follow-up on tasks and commitments
  • Assist with administrative tasks related to appointments and scheduling
  • Create, run, and pull reports from internal systems and databases
  • Provide high-level executive support while maintaining professionalism and confidentiality
