About The Position

This role is reserved for executive assistants supporting Regional Presidents or senior executives in the B and C1 bands. The Executive Assistant II performs a wide range of support for an executive, relieving them of administrative duties that are often highly confidential, diversified, and complex. This position serves as a management delegate for email inboxes and systems, requiring initiative and judgment in the absence of specific directions from the executive. The role involves interaction with board members and key community leaders, serving as a liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities, and operations. Additionally, it provides support for Office of the President issues. The Executive Assistant II is responsible and accountable for risk by openly exchanging ideas and opinions, elevating concerns, and personally following policies and procedures. They are accountable for always doing the right thing for customers and colleagues, ensuring that actions and behaviors drive a positive customer experience. While operating within the Bank's risk appetite, they achieve results by consistently identifying, assessing, managing, monitoring, and reporting risks of all types.

Requirements

  • Requires ability to properly read and write well enough to type, edit, and proof general business correspondence and prepare reports as normally acquired through completion of a high school education.
  • Requires in-depth knowledge of company policies, procedures, and operations to assume a variety of administrative details usually acquired in six or more years of secretarial/administrative experience including at least three years with company.
  • Must be able to accurately and efficiently record and type dictation involving a normal range of business vocabulary, or a limited and recurring range of special terminology normally acquired though a one-year business college program.
  • Experience with Microsoft office products, such as Word and Excel, is necessary.

Responsibilities

  • Provides administrative support to the area executive, requiring judgment and initiative in certain situations.
  • Administers programs, projects, campaigns and/or processes for the operating unit served.
  • Coordinates manager’s schedule, makes appointments, and arranges and coordinates travel schedules.
  • Liaisons with key executives, board members, external management personnel, and other persons important to the Bank to transmit information and obtain data.
  • Answers, screens, and directs incoming calls, determining those which can be handled by subordinates to the executive.
  • Assists in the preparation of administrative reports, performs difficult and/or sensitive information gathering, completes complex reporting and analysis, and distributes such reports to the appropriate people.
  • May work as a group leader over a small workgroup within a single functional area, assisting with supervisory and training duties, while also performing the same support work.
  • Greets internal and external customers, answering questions of a complex nature.
  • Sorts and distributes incoming mail as well as preparing outgoing mail and other correspondence. Responds to incoming mail and other materials not requiring the attention of the executive.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities.
  • Creates written correspondence and reports from rough drafts, with a high level of accuracy and attention to detail.
  • Organizes and maintains confidential file system and files correspondence and other records.
  • Other administrative duties as assigned.
