About The Position

The Executive Assistant provides high-level administrative support to a leader within the Global Media & Entertainment organization. This role manages a high volume of complex tasks, including calendar and travel coordination, expense management, and proactive oversight of meetings, priorities, and communications. The position requires exceptional organizational skills, sound judgment, and the ability to operate with minimal guidance while maintaining a high degree of professionalism and discretion.

Requirements

  • 3–4+ years of experience providing executive support to management, such as Vice Presidents, or CEOs.
  • Proven experience in calendar, travel, expense, and meetings management for leaders.
  • Strong working knowledge of Microsoft Office Suite, including Outlook, for email, calendar, and document management.
  • Demonstrated ability to complete a high volume of tasks and projects with little to no guidance.
  • Impeccable attention to detail and strong organizational skills.

Responsibilities

  • Manage complex and dynamic calendars for leadership, including scheduling, rescheduling, and prioritizing meetings across multiple time zones.
  • Monitor and track the Vice President’s meetings, priorities, and emails, ensuring that critical items receive appropriate attention and follow-up.
  • Act as a proxy for the Vice President when necessary, helping to triage requests, communicate decisions, and maintain momentum on key initiatives.
  • Coordinate all aspects of travel, including booking flights, accommodations, ground transportation, and preparing detailed itineraries.
  • Manage expense reporting and reimbursement processes, ensuring accuracy, timeliness, and compliance with company policies.
  • Provide comprehensive administrative support for the office, including meeting preparation, documentation, and logistics.
  • Document and track multiple tasks and action items for the Vice President, ensuring timely completion of deliverables and follow-through on commitments.
  • Prepare, organize, and distribute meeting materials, agendas, and follow-up notes as needed.
  • Respond quickly and effectively to changing priorities, adjusting schedules and plans with minimal disruption.
  • Handle confidential information with a high level of integrity, discretion, and professionalism.
  • Communicate clearly and professionally with professionals inside and outside the organization, representing the executive and the team effectively.
  • Utilize Microsoft Office and Outlook tools to support daily operations, including email management, document creation, and data organization.
