About The Position

This role provides high-quality administrative, organizational, analytical, and operational support to the Senior Vice President & Chief Audit Executive of a large, publicly listed company. It is ideal for a proactive, highly discreet, detail-oriented professional who thrives in a fast-paced executive environment. The position involves managing complex administrative needs, preparing executive materials, maintaining trackers and reports, and utilizing Microsoft 365, including approved AI tools like Copilot, to enhance departmental efficiency. The Executive Assistant / Executive Operations Analyst will act as an extension of the Chief Audit Executive’s office, supporting the function's operating rhythm, coordinating senior-level deliverables, and contributing to high-profile initiatives, including executive and Audit Committee reporting.

Requirements

  • 5+ years supporting senior-level executives in a fast-paced, professional environment
  • Demonstrated ability to manage complex calendars, shifting priorities, sensitive communications, meeting logistics, travel, expenses, and executive follow-up with sound judgment and minimal direction
  • Comfortable working with information, trackers, reports, and metrics; able to organize data, identify basic trends, reconcile details, and translate information into clear summaries and executive-ready materials.
  • Advanced proficiency in Microsoft Outlook, Excel, Word, PowerPoint, and Teams, with the ability to produce polished documents, presentations, spreadsheets, trackers, and meeting materials.
  • Demonstrated curiosity and practical ability to use Microsoft 365 Copilot or similar approved AI tools to improve productivity, draft content, summarize information, support meeting preparation, and streamline routine work.
  • Exceptional judgment when handling confidential, privileged, financial, audit, governance, board-related, and personnel information, including careful and appropriate use of AI-enabled tools.
  • Strong written and verbal communication skills, with the ability to prepare clear, concise, professional materials for senior executives and governance audiences.
  • High degree of accuracy, follow-through, and quality control, especially when preparing reports, presentations, meeting materials, and executive communications.
  • Proven ability to build trusted relationships across the organization and interact confidently with senior leaders, board members, vendors, and internal stakeholders.
  • Able to anticipate needs, resolve issues, improve processes, and take ownership of deliverables in a dynamic environment.
  • Positive, resilient, service-oriented, and comfortable working under pressure while managing multiple priorities; willing to monitor time-sensitive matters occasionally outside regular business hours.

Nice To Haves

  • Experience supporting a public-company executive, governance function, audit, finance, legal, risk, or board-facing team is an asset.
  • Familiarity with SAP Concur or similar expense and travel management systems is an asset.

Responsibilities

  • Provide proactive daily support to the Senior Vice President & Chief Audit Executive, including complex calendar management, meeting scheduling, communications coordination, travel arrangements, expense reporting, and general administrative support.
  • Support the operating rhythm of the Office of the Chief Audit Executive, including meeting cadence, agenda planning, deliverable tracking, action-item follow-up, and preparation of executive-ready materials.
  • Liaise with senior executives, board members, internal stakeholders, and external partners to support effective coordination of meetings, materials, priorities, and follow-ups.
  • Prepare, maintain, reconcile, and improve departmental reporting, including quarterly Audit Committee materials, annual planning documents, department KPIs, client surveys and feedback, management action item reporting, and other executive or governance-related deliverables.
  • Use Excel, Word, PowerPoint, Outlook, Teams, Forms and other Microsoft 365 tools to create high-quality reports, presentations, trackers, briefing materials, meeting summaries, and communications.
  • Support basic analysis, trend identification, data cleanup, quality review, and synthesis of information used in executive, departmental, and committee reporting.
  • Leverage approved AI tools such as Microsoft 365 Copilot to summarize information, draft first versions of communications, improve reporting workflows, organize meeting outputs, and identify opportunities to reduce manual or repetitive work.
  • Handle confidential, privileged, financial, audit, governance, board-related, and personnel information with the highest level of discretion, integrity, and information-security awareness.
  • Coordinate team events, quarterly meetings, onboarding activities, vendor interactions, guest logistics, A/V requirements, catering, filing system improvements, supply ordering, and other operational needs.
  • Identify opportunities to simplify, standardize, and improve administrative and reporting processes within the function.
