About The Position

The Executive Assistant provides high-level administrative, operational, and logistical support to the Chief Financial Officer, Vice President of Finance & Investor Relations, Chief Accounting Officer, and their teams as needed.

  • High school diploma required

Nice To Haves

  • Bachelor’s degree strongly preferred
  • 3+ years of Executive Assistant experience preferred
  • Experience supporting investor relations, finance, or public company environments preferred
  • Advanced proficiency in Microsoft Office Suite (including Teams and Copilot) required
  • Flexibility to support occasional early-morning or after-hours needs around quarterly earnings, board meetings, investor events, and other events as needed

Responsibilities

  • Manage complex executive calendars, scheduling internal and external meetings while balancing competing priorities
  • Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, itineraries, and travel documentation
  • Prepare and submit executive expense reports and reimbursements
  • Manage incoming communications and assist with prioritization of email, meetings, and action items
  • Prepare correspondence, presentations, spreadsheets, reports, and meeting materials as requested
  • Ensure executives are prepared for meetings by organizing agendas, materials, and briefing documents
  • Coordinate department meetings, offsites, training sessions, and team events, including meeting spaces, catering, technology needs, and guest accommodations
  • Partner with the broader EA team to ensure coverage, continuity, and alignment across executive priorities
  • Serve as a professional ambassador of the company when interacting with investors, analysts, vendors, and guests
  • Own the annual planning, registration, travel coordination, and logistics for investor relations conferences, roadshows, analyst meetings, and investor events
  • Coordinate investor and analyst visits to corporate offices, including facility tours of operational locations
  • Support reporting activities, including scheduling, logistics, and administrative preparation for quarterly earnings calls and related meetings
  • Handle confidential and market-sensitive information — including earnings, board, and transaction materials — with strict discretion and in compliance with the company’s insider trading, disclosure policies, and all relevant laws and regulations
  • Screen and route inbound investor, analyst, and media inquiries to the Investor Relations team as needed
  • Maintain the finance and investor relations calendar of key dates, including quarterly close, earnings, SEC filing deadlines, Board and Audit Committee meetings, etc.
  • Track and distribute earnings call schedules, investor presentations, and financial announcements to leadership as appropriate
  • Attend meetings as requested to capture notes and track follow-up items to completion
  • Assist the Finance, Investor Relations, and Accounting teams with invoice processing, purchase requests, mailing and other departmental administrative functions
  • Miscellaneous and wide-ranging duties and projects as assigned by executives
