About The Position

Explore Edmonton is looking for an Executive Assistant to provide executive, administrative, and operational support to senior leadership. Reporting directly to the VP, Business Development & Venues Management, this role serves as a key partner and primary point of contact supporting internal and external relationships, helping ensure priorities, commitments, and day-to-day operations are managed efficiently and professionally. The Executive Assistant will have a strong understanding of the Officer’s responsibilities and will represent Explore Edmonton’s values and culture in all interactions.

Requirements

  • Post-secondary diploma or certificate in Office Administration, or an equivalent combination of education and experience
  • Minimum 10 years of relevant experience in a professional, executive-level environment
  • Advanced proficiency in Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and Teams
  • Exceptional organizational skills with strong attention to detail and accuracy
  • Excellent interpersonal and communication skills with a professional and polished demeanour
  • Strong writing, editing, grammatical, and research capabilities
  • Proven time management, analytical thinking, and problem-solving abilities
  • Demonstrated discretion, diplomacy, and tact in handling confidential and sensitive information
  • Ability to work independently, prioritize tasks, and manage competing demands in a fast-paced environment
  • Collaborative mindset with the ability to build strong working relationships across all levels of the organization
  • Flexibility and adaptability to shifting priorities, urgent requests, and evolving leadership needs
  • Experience supporting senior leaders in complex executive-level environments, including calendar management, travel coordination, meeting preparation, and stakeholder support
  • Confidence and initiative to anticipate needs, take ownership of priorities, and provide proactive support to executive decision-making

Responsibilities

  • Provide comprehensive executive and administrative support, including complex calendar management, coordinating speaking engagements, expense reporting, correspondence, detailed travel arrangements, itineraries, agendas, and meeting preparation
  • Screen correspondence and prepare responses on behalf of the Officer
  • Support prioritization of external commitments and competing priorities
  • Support annual business planning activities, corresponding budgets, and key business priorities
  • Support cross-functional operational efforts across leadership portfolios to ensure alignment and efficiency
  • Act as an administrative liaison with key external stakeholders, including government, chamber organizations, post-secondary institutions, and community partners
  • Coordinate meetings and participate in ELT and SLC activities, including scheduling, agenda coordination, attending meetings, note-taking, and action item tracking
  • Draft and prepare documents supporting leadership projects and initiatives
  • Maintain accurate records of meetings and follow up on assigned actions
  • Support and participate in strategic events and initiatives as required
  • Collaborate with administrative colleagues on organizational projects, events, and shared priorities.
