About The Position

The Utah Governor’s Office of Economic Development (GOED) seeks a talented Executive Assistant to provide administrative support to the State Housing Coordinator and other directors within the Housing Division of GOED. The Executive Assistant will dually act as a Board Support Assistant providing administrative support to the Affordable Housing Infrastructure Grant Board, the State Housing Infrastructure Partnership Board, and the State Housing Infrastructure Loan Board. This role focuses on managing the day-to-day operations, board coordination and documentation, travel management, and overall coordination for the Housing Division management team.

Requirements

  • At least two years of professional or similar office experience
  • Experience providing support to a board
  • Flexibility and adaptability in a fast-paced environment
  • Strong verbal and written communication skills
  • Proficiency in Google Apps and Microsoft Office Suite
  • Experience with Google Calendar, Google Meet, and Zoom
  • Ability to be a quick study using internal systems, including Salesforce, Concur, and Basecamp
  • Strong attention to detail
  • Excellent time management, organizational, prioritization, and multitasking skills
  • Friendly and collaborative personality
  • Must successfully pass a criminal history check.

Responsibilities

  • Provide general administrative support, including calendar management, meeting scheduling, travel arrangements, and financial reimbursements.
  • Support in-person and virtual meetings and events.
  • Receive and process requests for payment to partner entities, including gathering approvals, coding, and submitting invoices to the finance team for processing.
  • Manage a purchasing card and follow all purchasing and finance rules to assist the director with financial needs.
  • Assist the executive team in coordinating meetings, creating agendas, taking minutes, noting follow-up and to-do items, and covering other duties as assigned.
  • Act as the department’s lead travel coordinator by training and supporting team travel coordinators, handling executive travel authorizations, reimbursements, and group gatherings.
  • Foster relationships with other GOEO teams, state agencies, business and community partners.
  • Coordinate with the other office admins to support office-wide events, inventory management, state surplus, and any projects that require additional support.
  • Organize board meetings, record minutes, and manage public notices in compliance with Utah’s Open and Public Meetings Act.
