About The Position

Parker University is seeking a Board Administrator /Executive Assistant to join their rapidly expanding team. This role provides high-level executive administrative and governance support, with primary responsibility for coordinating Board of Trustees (BOT) operations, committee activities, executive meetings, and related governance documentation. The position serves as a key administrative partner to the President’s Office, ensuring effective coordination of board and executive-level activities. It also provides backup support for the executive assistant to the President and offers executive administrative support to assigned Cabinet members as needed. The role requires acting as a professional representative of the President’s Office, interacting regularly with trustees, executive leadership, faculty, staff, students, and external stakeholders.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience required.
  • Minimum of 5–8 years of experience supporting senior executives or executive leadership teams.
  • Minimum of two (2) years of experience supporting boards of directors, boards of trustees, or executive governance functions required.
  • Exceptional professionalism, interpersonal, and customer service skills.
  • Strong organizational, administrative, verbal, and written communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
  • Advanced proficiency in Microsoft Office and related business applications.
  • Position requires regular on-campus presence to support executive operations, Board of Trustees activities, and customer service needs.

  • Paralegal certification or other professional certification preferred.

Responsibilities

  • Coordinates and supports Board of Trustees (BOT) and BOT committee meetings, including scheduling, meeting logistics, travel arrangements, accommodations, meeting space, food service, and preparation of meeting materials.
  • Prepares, organizes, distributes, and maintains board books, agendas, committee materials, resolutions, presentations, and other governance-related documentation.
  • Drafts and maintains accurate meeting minutes for Board of Trustees meetings, committee meetings, executive meetings, and other assigned meetings.
  • Tracks BOT and committee action items, follows up with responsible parties, and maintains documentation of progress and completion.
  • Maintains official BOT records, governance files, legal documentation, and confidential institutional records in accordance with university practices.
  • Serves as backup support for President’s Office operations and executive administrative functions, as needed and at the direction of the President.
  • Provides executive administrative support to assigned Cabinet members, including calendar management, meeting coordination, travel arrangements, and expense reporting as needed.
  • Assists with executive communications, correspondence, reports, presentations, and special projects requiring a high degree of professionalism and confidentiality.
  • Provides exceptional customer service to trustees, executive leadership, faculty, staff, students, and external guests.
  • Travels to BOT meetings and related events, as needed, to provide on-site administrative and meeting support.
  • Maintains accurate budget-related records and assists with administrative tracking and reporting as assigned.
  • Performs other duties and special projects as assigned.
