About The Position

The Executive Administrator provides high-level, comprehensive support to the Chief Executive Officer (CEO), while also providing critical administrative partnership to the Chief Financial Officer (CFO) and Chief Development Officer (CDO). This role requires absolute, uncompromising confidentiality as it involves handling sensitive financial data, legal contracts, strategic growth plans, and executive bookings. The individual will also actively serve within the Neighborly Department, acting as a flexible team player who can balance high-level executive support with hands-on, practical service across the Support Center.

Requirements

  • Prior experience supporting multiple C-level executives (specifically CEO/CFO/CDO) in a fast-paced environment.
  • A flexible, service-oriented mindset eager to jump into various support roles within the Neighborly Department, from high-level tasks to hands-on physical event support and meal logistics.
  • A proven history of handling highly confidential financial and strategic information with absolute discretion.
  • Ability to juggle competing priorities between executive management and dynamic Support Center utility tasks while maintaining a calm, welcoming presence.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and QuickBooks (or comparable accounting software).
  • Exceptional written and oral communication skills; the ability to represent the Executive Team’s voice with professionalism and humility.
  • Occasionally bending, twisting, and turning.
  • Sitting for extended periods of time.
  • Ability to lift and/or move up to 50 pounds.

Responsibilities

  • Manage access and communication for the CEO, CFO, and CDO, serving as a professional filter for urgent matters.
  • Handle highly sensitive information, including financial audits, franchise development deals, and legal documents, with total confidentiality.
  • Assist the CEO and CFO in fulfilling fiduciary responsibilities and facilitate the procurement of sensitive signatures for legal, construction, and corporate teams.
  • Orchestrate and de-conflict the daily itineraries of three C-suite executives, ensuring they are prepared for meetings with relevant background briefings.
  • Lead the preparation for Leadership Team meetings and Board sessions, including drafting agendas, capturing confidential minutes, and tracking action items.
  • Arrange travel and accommodations for the CEO, CFO, and CDO, managing complex schedules and expense reporting.
  • Assist in the oversight of the Executive Office’s budget, manage expense reports, and procurement via QuickBooks (or comparable software).
  • Partner with the Neighborly Department to ensure office initiatives align with the Executive Team's vision and the CBA mission.
  • Assist the CEO in duties related to the Christian Brothers Automotive Foundation.
  • Act as an adaptable, hands-on resource across the organization, filling support gaps within the Support Center.
  • Provide physical and logistical assistance for company events, meetings, and gatherings, including setup and tear-down.
  • Deliver immediate, practical assistance on demand, such as ordering and delivering meals or providing physical and administrative support across departments.
  • Embody the core mission of the Neighborly Department by fostering a welcoming, helpful, and community-minded environment.
