About The Position

The Executive Administrator provides high-level, comprehensive support to the Chief Executive Officer (CEO), while also providing critical administrative partnership to the Chief Financial Officer (CFO) and Chief Development Officer (CDO). This role is one of extreme trust, requiring absolute, uncompromising confidentiality due to its position at the intersection of leadership, finance, and development. The administrator will manage sensitive financial data, legal contracts, strategic growth plans, and executive schedules with professional maturity and discretion. In addition to supporting C-suite executives, this individual will actively serve within the Neighborly Department, acting as a flexible team player who balances executive support with hands-on service across the Support Center.

Requirements

  • Prior experience supporting multiple C-level executives (specifically CEO/CFO/CDO) in a fast-paced environment.
  • A flexible, service-oriented mindset eager to jump into various support roles within the Neighborly Department.
  • A proven history of handling highly confidential financial and strategic information with absolute discretion.
  • Ability to juggle competing priorities between executive management and dynamic Support Center utility tasks.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
  • Proficiency in QuickBooks (or comparable accounting software).
  • Exceptional written and oral communication skills.
  • Ability to represent the Executive Team’s voice with professionalism and humility.
  • Occasionally bending, twisting, and turning.
  • Sitting for extended periods of time.
  • Ability to lift and/or move up to 50 pounds.

  • Experience in a "servant leadership" capacity.
  • Experience with hands-on physical event support and meal logistics.

Responsibilities

  • Manage access and communication for the CEO, CFO, and CDO, serving as a professional filter for leadership.
  • Handle highly sensitive information, including financial audits, franchise development deals, and legal documents, with total confidentiality.
  • Assist the CEO and CFO in fulfilling fiduciary responsibilities and facilitate the procurement of sensitive signatures.
  • Orchestrate and de-conflict the daily itineraries of three C-suite executives, ensuring they are prepared for meetings.
  • Lead the preparation for Leadership Team meetings and Board sessions, including drafting agendas, capturing minutes, and tracking action items.
  • Arrange travel and accommodations for the CEO, CFO, and CDO, managing complex schedules and expense reporting.
  • Assist in the oversight of the Executive Office’s budget, manage expense reports, and procurement using QuickBooks.
  • Partner with the Neighborly Department to ensure office initiatives align with the Executive Team's vision and CBA mission.
  • Assist the CEO with duties related to the Christian Brothers Automotive Foundation.
  • Act as an adaptable, hands-on resource across the organization, filling support gaps in the Support Center.
  • Provide physical and logistical assistance for company events, meetings, and gatherings, including setup and tear-down.
  • Deliver immediate, practical assistance on demand, such as meal coordination and cross-departmental support.
  • Embody the core mission of the Neighborly Department by fostering a welcoming and helpful environment.
