About The Position

ANDMORE is seeking a highly organized, detail-oriented Executive Administrator / Coordinator to support senior leadership within Finance and Operations. This role is critical in ensuring seamless executive support, cross-campus coordination, and operational excellence across key initiatives, meetings, and market activities. This individual will serve as a central point of coordination for executive scheduling, travel, meetings, and department-wide communications while also supporting large-scale market preparation and cross-functional collaboration across Las Vegas, Atlanta, and High Point campuses.

Requirements

  • 3 to 7+ years of experience in executive administration, operations coordination, or similar role supporting senior leadership.
  • Proven ability to manage complex calendars, travel logistics, and high-volume scheduling.
  • Strong organizational skills with exceptional attention to detail.
  • Experience preparing meeting materials, agendas, and executive-level communications.
  • Proficiency in Microsoft Office Suite, especially Outlook, Excel, PowerPoint, and Word.
  • Experience in event, tradeshow, or multi-location corporate environments.
  • Ability to manage multiple priorities with accuracy and efficiency.
  • Strong written and verbal communication skills across all levels.
  • Handles sensitive information with confidentiality.
  • Works effectively across teams and campuses.
  • Anticipates needs and solves problems before they arise.

  • Department Coordinator for Contract Lifecycle Management (Ironclad) with assistance from other campus administrators.
  • Support shared execution of Critical Path Meetings, Pre- and Post-Market meetings, Stand-up meetings, and Daily Market Observations reporting to Operations and ELT through coordination with campus administrators.
  • Support enterprise programs such as the “You Owned It” recognition program, including procurement (gift cards, materials) and communications.

Responsibilities

  • Manage and maintain complex executive calendars for senior leaders, including Rob Klein and Greg Avitabile, ensuring alignment across priorities, meetings, and travel.
  • Coordinate all aspects of executive travel, including detailed itineraries, logistics, and accommodations.
  • Prepare and submit corporate expense reports in a timely and accurate manner.
  • Provide daily interim administrative support, including reception desk coverage, as needed.
  • Coordinate, schedule, and manage recurring meetings across Finance and Operations, including weekly leadership and 1:1 meetings, and monthly and quarterly financial and disclosure meetings.
  • Maintain and distribute recurring Outlook calendar invitations on a rotating six-month cadence.
  • Prepare meeting agendas, capture notes, track action items, and distribute meeting summaries.
  • Coordinate logistics for meetings, including food & beverage and multi-campus collaboration (Atlanta, High Point, Las Vegas).
  • Prepare and distribute the Weekly Operations Meeting agenda and minutes, including tracking deliverables and follow-ups.
  • Maintain monthly reminders for document retention and shared operational repositories.
  • Support document preparation and execution through DocuSign.
  • Serve as primary Department Coordinator for Contract Lifecycle Management (Ironclad) with assistance from other campus administrators.
  • Develop and maintain annual, month-by-month operational calendars aligned to markets, move-in/move-out schedules, and holidays.
  • Coordinate with other campus administrators the meeting cadences and materials for major ANDMORE markets across Atlanta (Home/Gift & Apparel), Las Vegas (Home/Gift & Apparel), and High Point (Spring/Fall Markets & Interwoven).
  • Support shared execution of Critical Path Meetings, Pre- and Post-Market meetings, Stand-up meetings, and Daily Market Observations reporting to Operations and ELT through coordination with campus administrators.
  • Prepare presentation templates and coordinate cross-functional inputs.
  • Coordinate team events, including lunches, dinners, and engagement activities for the Las Vegas Finance team.
  • Manage travel calendars for team members attending markets across campuses.
  • Support enterprise programs such as the “You Owned It” recognition program, including procurement (gift cards, materials) and communications.
  • Partner with administrative teams across campuses to ensure consistency and execution excellence.
