About The Position

RPI Group seeks an Executive Administrative Specialist to support all aspects of program development and management for the Submarine Security Program. This role provides executive-level administrative support to leadership, manages classified and unclassified communications, and coordinates travel, security documentation, and facility operations within a TS/SCI environment.

Responsibilities

  • Coordinate, draft and execute travel orders and vouchers for the Director and Deputy Director, and make arrangements incidental to official business in the Defense Travel System
  • Arrange lodging reservations, vehicle rentals, and provide logistical information for all TDY locations
  • Coordinate unclassified itineraries with points of contact for all leadership travel
  • Receive and route incoming mail and correspondence
  • Edit, format, and disseminate classified and unclassified correspondence
  • Maintain a log of received documentation and data as needed and control documents and packages up to the TS/SCI level
  • Transfer approved data from classified and unclassified networks for approved transmission
  • Maintain security logs of incoming and outgoing classified materials
  • Maintain complex meeting and travel schedules for the Director and Deputy Director and answer and route phone calls in a professional manner
  • Transmit security clearance and classified visit certifications
  • Ensure all required records are maintained and submitted in an accurate and timely manner
  • Complete required forms and documents in accordance with government policy and regulations
  • Manage the logistics associated with all facilities used by the organization to include GENSER and SCI spaces, including coordinating routine cleaning and maintenance schedules, managing reportable equipment inventories, coordinating IT services and equipment, and managing facilities and supply purchases
  • Submit, monitor, and coordinate visit access requests with appropriate government and program security offices (SSRs/SSOs) for member visits requiring SECRET or higher clearances
  • Verify GENSER clearances of visitors using DISS
