About The Position

INTECON, LLC is seeking a highly experienced Executive Administrative Specialist (Senior) to support the Defense Counterintelligence and Security Agency (DCSA), Acquisition Technology (AT) Directorate, with direct alignment to the Component Acquisition Oversight (CAO) Staff. This role serves as a central operational and coordination hub for CAO and AT leadership, responsible for managing executive workflows, overseeing task management processes, enabling front office operations, and supporting high-visibility initiatives across the organization. The ideal candidate is a senior-level administrative and operations professional with proven experience supporting DoD leadership, managing enterprise tasking systems, coordinating complex events, and driving process standardization in a fast-paced, mission-critical environment.

Requirements

  • Associate’s degree in Business Administration, Management, Communications, or related field (Bachelor’s preferred).
  • Equivalent experience may be considered in lieu of a degree.
  • 10+ years of experience supporting DoD, federal agencies, or large-scale organizations.
  • 5+ years of executive-level administrative support experience in high-visibility environments.
  • 3+ years of experience with task management systems (CATMS, SharePoint, ServiceNow, JIRA, etc.).
  • Demonstrated expertise in task tracking, executive coordination, and workflow management.
  • Proven ability to manage multiple priorities, deadlines, and high-tempo tasking environments.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Excellent written, verbal, and organizational skills with strong attention to detail.
  • Active Top Secret (TS) security clearance is required; TS/SCI clearance is preferred.

Nice To Haves

  • Familiarity with DoD Acquisition processes and documentation (FAR/DFARS, DoDI 5000 series) preferred.
  • Experience supporting Acquisition, Program Management, or Executive Front Office environments strongly preferred.

Responsibilities

  • Provide direct executive-level support to CAO and AT leadership, including calendar management, meeting sequencing, and prioritization of engagements.
  • Coordinate across Executive Assistants, Front Office personnel, and leadership to optimize scheduling and decision-making workflows.
  • Manage shared Outlook inboxes and executive communications, ensuring timely routing, response, and action tracking.
  • Prepare briefing materials, executive correspondence, and decision-support products for leadership engagements.
  • Serve as the Primary CATMS Task Manager for CAO, managing all internal and external taskers from receipt through closure.
  • Track, monitor, and report tasker status, ensuring timely completion, suspense compliance, and leadership visibility.
  • Consolidate and submit Branch Chief and Directorate-level inputs, ensuring alignment with leadership intent.
  • Implement and maintain task tracking tools (e.g., MS Teams, Kanban boards) to improve workflow transparency and execution discipline.
  • Coordinate tasker inputs across multiple directorates, supporting enterprise-level decision-making.
  • Compile, consolidate, and submit inputs for key deliverables.
  • Track workload metrics, task volumes, and reporting requirements to support leadership awareness and operational planning.
  • Support acquisition-related documentation and ensure alignment with DoD standards and formatting requirements.
  • Lead planning and coordination of high-visibility events and engagements, including Senior leadership briefings and external engagements.
  • Develop event artifacts including playbooks, agendas, communication plans, and after-action reports.
  • Coordinate logistics across stakeholders, including conference rooms, IT support, registration, and communications.
  • Manage event changes, rescheduling, and stakeholder notifications in dynamic environments.
  • Serve as the primary point of contact for CAO office operations, ensuring workspace readiness and administrative continuity.
  • Support onboarding and in-processing of personnel, including IT setup, GFE coordination, and first-day readiness.
  • Maintain office resources, supplies, and operational support functions.
  • Provide backup support to the AT Front Office and Executive Assistants as needed.
  • Develop and maintain “How-To” guides, SOPs, and administrative playbooks to standardize processes and improve execution.
  • Identify inefficiencies and recommend improvements across task management, communication, and workflow processes.
  • Support SharePoint and Teams optimization efforts to enhance information management and collaboration.
  • Coordinate and support in-person, hybrid, and virtual meetings, ensuring full operational readiness.
  • Capture and distribute meeting minutes, action items, and follow-ups to ensure accountability and execution.
  • Coordinate conference room scheduling, IT support, and troubleshooting to maintain operational continuity.
