About The Position

BreakForth Solutions is seeking an Executive Administrative Coordinator to support our client organization’s senior leadership and organizational operations within a federal customer environment. The candidate will provide executive administrative, coordination, and operational support functions to assist leadership and staff in fulfilling mission requirements. This role requires a highly organized and detail-oriented professional capable of managing calendars, coordinating travel and meetings, supporting organizational communications, processing administrative actions, and maintaining office operations in a fast-paced federal environment.

Requirements

  • Minimum Education: High School Diploma or GED required.
  • Minimum Experience: 5 years of relevant executive administrative or office support experience in a professional environment.
  • Ability to work on-site for 5 days within the Washington, DC metropolitan area as required
  • Experience with calendar management, meeting coordination, travel coordination, and administrative operations.
  • Experience processing administrative documentation, office correspondence, or organizational reports.
  • Experience with travel systems, transit benefit programs, or administrative procurement processes.
  • Experience coordinating meetings and organizational events.
  • Experience reviewing and editing administrative or organizational documents.
  • Experience working in fast-paced executive or front office environments.
  • Strong organizational and time management skills.
  • Strong attention to detail and ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office applications including Outlook, Word, Excel, and PowerPoint.
  • Experience maintaining electronic filing and records management systems.
  • Ability to work independently and exercise sound judgment in handling sensitive information.
  • Ability to obtain a favorable Public Trust investigation and obtain an elevated security clearance later if required

Nice To Haves

  • Associate’s or Bachelor’s degree in Business Administration, Public Administration, Communications, Management, or related field preferred.
  • Experience supporting senior leadership or executive-level personnel preferred.
  • Experience with the Department of Justice.
  • Experience supporting federal government organizations or federal executives.
  • Experience with WebTA, ECATS and E2 Travel.

Responsibilities

  • Work on-site five days a week at the client site in the Washington, DC metropolitan area.
  • Provide executive administrative support to senior leadership and organizational staff.
  • Maintain daily calendars and coordinate schedules, meetings, appointments, and organizational activities.
  • Coordinate meeting logistics, including scheduling rooms, arranging equipment, and supporting meeting setup requirements.
  • Arrange official travel, transportation, lodging, itineraries, and related coordination for leadership and organizational personnel.
  • Prepare and process travel-related documentation, reimbursements, transit benefits, and administrative forms.
  • Assist with purchase orders, office supply requests, and coordination of administrative procurement activities.
  • Review and edit organizational documents, correspondence, memoranda, reports, and briefing materials for formatting, grammar, and accuracy.
  • Monitor incoming emails, correspondence, and office communications and distribute appropriately.
  • Maintain recurring administrative reports, records, office files, and tracking systems.
  • Maintain electronic and paper filing systems in accordance with organizational practices.
  • Support records management and archiving activities.
  • Answer phones, greet visitors, and provide front office support for internal and external stakeholders.
  • Coordinate and communicate with leadership staff, administrative personnel, vendors, and external partners as needed.
  • Perform research, data gathering, and administrative tracking activities.
  • Prepare reports, summaries, spreadsheets, and other administrative documentation.
  • Maintain office supply inventory and coordinate equipment/service support requests.
  • Support short-notice administrative and operational tasks in support of leadership priorities.
