About The Position

Our client is seeking an experienced Executive Administrative Coordinator to support its global Cyber Services Team. This role will provide high-level administrative support to leadership while serving as a key coordinator for client onboarding activities, operational reporting, and team logistics. The ideal candidate is highly organized, detail-oriented, and comfortable supporting a fast-paced global team. This individual will play a critical role in ensuring smooth communication, scheduling, onboarding, and administrative operations across teams in North America, Europe, Asia, and Australia.

Requirements

  • Previous experience as an Executive Assistant, Administrative Assistant, or Administrative Coordinator supporting leadership.
  • Experience managing complex calendars for managers or executives.
  • Strong Salesforce experience, including maintaining client data and reporting.
  • Experience coordinating meetings, webinars, and events for both internal and external audiences.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
  • Experience supporting geographically dispersed or global teams.

Responsibilities

  • Provide high-level administrative support to leaders and their teams.
  • Manage complex calendars and schedule meetings across multiple global time zones.
  • Organize internal and external meetings, including venue coordination, equipment setup, and catering arrangements when required.
  • Coordinate domestic and international travel arrangements and itineraries.
  • Manage confidential information with professionalism and discretion.
  • Screen, prioritize, and route incoming communications appropriately.
  • Maintain filing systems and organizational records.
  • Manage administrative aspects of client onboarding for the Cyber Services Team.
  • Coordinate onboarding meetings and calls with external clients and stakeholders.
  • Maintain onboarding records and client data within Salesforce.
  • Support client-facing teams through scheduling, documentation, and communication activities.
  • Help ensure a seamless onboarding experience for new cyber insurance customers.
  • Maintain operational reports and administrative tracking for the Cyber Services team.
  • Manage shared mailboxes and support business-as-usual operational processes.
  • Coordinate Underwriter Education training schedules and onboarding activities for new underwriters.
  • Organize and support external Threat Intelligence webinars and client events.
  • Collaborate with internal teams and external vendors to support reporting and operational needs.
