The opportunity Assist the B2B Development Vice-President and management team in the execution of their activities. Assist the team with administrative operations: HR, purchasing, IT, travel, organization of meetings & document management. Situated in Greenville, South Carolina, the sprawling Michelin Americas Research Center (MARC) campus is home to approximately 650 talented employees, including materials researchers, product designers, scientists, engineers, test technicians and individuals in a variety of support roles. Greenville, SC is conveniently located within driving distance to east coast beaches, the Blue Ridge Mountains and large cities like Atlanta and Charlotte. Requirements

  • Experience as an Administrative Assistant.
  • Experience handling office operations.
  • Able to maintain a high level confidentiality.
  • Strong interpersonal and organization skills.
  • Highly organized, with strong time leadership skills and an ability to handle tight schedules and adapt to changing priorities and circumstances.
  • Ability to prioritize, complete multiple assignments and monitor workflow required.
  • Strong written and verbal communication skills required.
  • Strong planning, organizational, interpersonal, and analytical skills including attention to detail.
  • Proficient skill level (proven experience) in Outlook, Teams, Microsoft Word, Excel, O365 and PowerPoint required.
  • Willingness to work onsite 5 days/week.

Nice To Haves

  • Associate’s Degree / Bachelor’s Degree or equivalent experience preferred.
  • 3-5 years business experience supporting senior executives as an Admin Assistant is helpful.

Responsibilities

  • Handle all team members requests within the agreed timelines and according to priorities, redirect if necessary (e.g. support for professional trips and expenses, various troubleshooting, on-site access or badged sector ...)
  • Handle the Personnel administration: recordings and specific tasks completed on schedule (required trainings, new hire welcome, departures, etc.)
  • Coordinate recurring meetings (planning and logistics) and other meetings on request from team members: respects the organizational timing and books meeting rooms accordingly, send invitations to participants, forward the agenda and venue.
  • Coordinate team events.
  • Record the meeting minutes.
  • Coordinate the Manager’s trips (logistics) within the travel system.
  • Purchase Management: Handle purchasing (orders and purchase orders) for the department through systems according to the needs and specific requests.
  • Handle purchase orders and forwards invoices to external service provider.
  • Apply Purchase rules and educates the team.
  • Validate invoices without purchase orders.
  • Monitor the budget of external purchases (supplies, providers ...).
  • Relay for Information: Relay information for the proper functioning of the department: distribute information via the Manager and/or by e-mail with the appropriate distribution lists and/or ensures the update of the bulletin board when necessary.
  • Distribute department and company information.
  • Update the various lists (distribution lists, organizational charts…).
  • Welcome and Service: Welcomes each visitor, redirects, and responds to needs.
