About The Position

The Executive Assistant provides high-level administrative and operational support to a retired CEO and Chief Medical Officer. This trusted partner will manage complex schedules, travel, communications, records, and special projects while exercising exceptional discretion, professionalism, and judgment. The role requires a proactive, highly organized individual who can effectively engage with senior executives, healthcare leaders, board members, advisors, and other key stakeholders.

Requirements

  • 7+ years of experience supporting senior executives, board members, physician leaders, or high-profile individuals.
  • Proven ability to manage highly confidential information with discretion and integrity.
  • Strong experience coordinating complex travel, meetings, events, and executive communications.
  • Advanced proficiency with Microsoft Office and collaboration tools.

Responsibilities

  • Manage calendars, appointments, meetings, including personal and professional commitments.
  • Coordinate domestic and international travel, including itineraries, accommodations, and logistics.
  • Serve as a primary liaison with executives, board members, healthcare professionals, advisors, nonprofits, and external partners.
  • Draft and manage correspondence, presentations, briefing materials, and meeting documentation.
  • Maintain confidential records, contact databases, memberships, and important documents.
  • Track deadlines, commitments, expenses, reimbursements, and follow-up actions.
  • Support board, philanthropic, academic, healthcare, and community-related activities.
  • Plan and coordinate meetings, events, conferences, and private functions.
  • Handle expense reporting, invoices, and vendor payments.
  • Prioritize requests and manage communications while protecting the executive’s time, privacy, and reputation.
