About The Position

The Executive Assistant will provide high-level administrative support to the President & CEO in addition to other members of the executive leadership team, playing an instrumental part in enabling our leaders to achieve their goals by streamlining their daily operational tasks.

Requirements

  • In-depth understanding of office management and the intricacies of scheduling.
  • Ability to maintain discretion and confidentiality in all matters.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • High school diploma required
  • 5+ years of related experience required.

Nice To Haves

  • Bachelor’s degree in Business Administration or related field preferred.

Responsibilities

  • Coordinates the day-to-day and long-range activities and operations of the Executive Office.
  • Efficiently manages complex and dynamic calendars, including setting up, confirming and/or rearranging appointments as necessary.
  • Plans and coordinates travel arrangements including managing and processing expense reports related to travel.
  • Screens incoming executive communication including phone calls, emails Teams messages, mail and visitors.
  • Communicates with internal and external contacts to resolve problems as necessary.
  • Handles a wide range of administrative support tasks and independently initiates and implements processes to manage projects, information, and people.
  • Researches and analyzes data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Compiles information, analyzes, and prepares reports and departmental metrics as required.
  • Develops positive and strategic relationships at all levels of the organization.
  • Coordinates office needs such as organizing events, maintaining supplies, etc.
  • Schedules conference rooms and meetings as necessary.
  • Attends various meetings with focus of maintaining notes, recordkeeping and updating of trackers.
  • Uses expertise in Microsoft Word, Microsoft Excel, Microsoft Powerpoint and Microsoft Outlook.
  • Performs other related duties as assigned.
