About The Position

The U.S. team has an opportunity for an Executive Administrative Assistant to join the Claims team in Plymouth, MN. This role provides high-level administrative, clerical, and customer service support of a complex and confidential nature to top management. The position involves preparing reports and recommendations for superiors, requiring broad knowledge of company policies, procedures, and standard computer packages.

Requirements

  • High school diploma with demonstrated experience required.
  • 6+ years of experience.

Nice To Haves

  • Associates or Bachelor’s degree strongly preferred.

Responsibilities

  • Prepares correspondence, distributes outside and interoffice communication, and performs other secretarial duties.
  • Creates regularly scheduled reports, PowerPoint presentations, and Excel spreadsheets.
  • Files documents, office products, and other materials; performs data entry of applicable office/division/group information; and maintains product library, references, and other indexes.
  • Pre-screens, prioritizes, and forwards all outside and interoffice communication to/for supervisor(s) or executive(s).
  • Performs customer service functions as required.
  • Develops and maintains a network of relationships throughout the company to facilitate communication and cooperation.
  • Manages, coordinates, and revises executive(s) schedules, appointments, meetings, and travel arrangements.
  • Arranges conference calls as needed.
  • Edits and distributes office and project materials, and assists staff in developing and maintaining professional relationships with clients, regulatory agencies, and company offices.
  • Handles various administrative tasks relating to personnel, office finances, and supplies.
  • Performs any other administrative duties relevant to the applicable division.
  • Trains administrative assistants, as necessary.
