Terrestris is seeking an Executive Administrative Assistant IV to manage the administrative and clerical support services for the Bureau of Economic Analysis (BEA) in Suitland, MD. Requirements

  • Authorization to work in the United States permanently without sponsorship.
  • A minimum of a Bachelor’s Degree and seven (7) years of related work experience or a High School Diploma and eleven (11) years of related work experience.
  • Advanced Microsoft Office skills.
  • Demonstrated ability to multi-task and assist multiple BEA employees at once with little oversight.
  • Past experience supporting procurement and budgeting functions with minimal oversight and high accuracy.

Nice To Haves

  • Prior work experience with BEA, Department of Commerce, or similar entity.
  • Formal budgeting and/or procurement training.

Responsibilities

  • Manage enterprise-level scheduling, workflow, communication flow, and administrative operations.
  • Oversee high-priority projects and serve as the primary administrative liaison for senior leadership.
  • Process inter-office, incoming, and outgoing mail.
  • Provide Procurement & Budget Support, including assisting with purchase and training requests, assisting in the development of budgets and spend plans, and supporting team leaders and analysts in tracking and reporting on spend plans.
  • Provide General Administrative Support, including assisting in the preparation of routine reports, providing logistical support for office meetings and events, maintaining administrative files and managing records, serving as GovTA timekeeper, handling data entry, spreadsheets, databases, mailing lists, and supply orders, and updating and maintaining management staff calendars.
  • Coordinate Travel Processing, including managing, tracking, and analyzing travel plans and processes, and processing travel requests.
  • Provide Correspondence Management, including reviewing office correspondence for proper formatting, preparing correspondence and documents, distributing correspondence and documents, and tracking, controlling, and filing documents.
