About The Position

The Event Manager - Academic Conferences is a key member of the Mendoza Events & Engagement Team (MEET). This role is responsible for the strategic planning, coordination, and execution of high-profile academic conferences and events that advance the scholarly mission of the Mendoza College of Business. The Event Manager leads the end-to-end planning and execution of complex events, ensuring they are seamless and strategically aligned with the Mendoza brand.

Requirements

• Bachelor’s degree
• 3–5 years of professional experience in event planning or project management, preferably in a higher education or corporate setting.
• Proficiency in event management software (e.g., Cvent), project management tools, and the Google Suite.
• Exceptional organizational skills, strong attention to detail, and the ability to manage multiple complex projects simultaneously under tight deadlines.

Nice To Haves

• Experience specifically managing academic or research-focused conferences.
• Advanced relationship management skills with the ability to influence and collaborate with diverse stakeholders, including senior faculty and external VIPs.
• Proven ability to work independently in a fast-paced environment and adapt to changing priorities.

Responsibilities

• Collaborate with staff and stakeholders to define event goals and design comprehensive project plans.
• Oversee all operational aspects, including venue selection, contract negotiation, catering, audiovisual needs, and transportation.
• Develop and manage event budgets, track expenses, and ensure fiscal responsibility and compliance with University policies.
• Coordinate with the marketing team to manage event websites, registration platforms (Cvent), and promotional materials.
• Lead on-site teams and vendors during events to ensure high-quality delivery and immediate problem-solving.
• Conduct debriefs and analyze data to measure success and provide recommendations for future improvements.
