About The Position

Zilliz is hiring an Events & Operations Specialist to plan and execute marketing and community events while providing some internal operational support. The role works closely with Marketing, Sales, and Developer Relations teams, coordinating developer meetups, customer events, industry conferences, and trade shows, primarily across North America and Europe. It involves hands-on coordination with internal teams and external partners to keep projects organized and events running smoothly. Events are the primary focus, with a smaller portion of the role dedicated to internal operational and administrative support.

Requirements

At least 2 years of relevant professional experience in event marketing, event coordination, operations, or a related field.
Hands-on experience organizing events or managing projects involving multiple stakeholders, timelines, and deliverables.
Strong organizational skills and attention to detail, with the ability to manage competing priorities and follow through on commitments.
A proactive approach, including the ability to identify problems, take initiative, and move projects forward with limited supervision.
Strong communication and interpersonal skills, including experience coordinating across internal teams and working with external vendors or partners.
Comfort working in a startup environment where priorities can change and processes may not always be clearly defined.
A practical, resourceful approach to problem-solving, willingness to contribute new ideas, and readiness to take on different types of work.
Willingness to travel domestically and occasionally internationally to support events.

Nice To Haves

Experience with developer meetups, technical community events, or B2B technology conferences.
Familiarity with developer communities, open-source technologies, AI, or data infrastructure.
Experience working in a startup or fast-growing technology company.
Familiarity with event management, project management, or marketing tools.

Responsibilities

Coordinate the planning and execution of developer meetups, community gatherings, sales events, conferences, and trade shows, primarily across North America and Europe.
Manage event logistics, including registration, attendee communications, venue arrangements, vendors, materials, and on-site coordination.
Work with Marketing, Sales, and Developer Relations teams to understand event objectives, coordinate resources, and deliver activities on schedule.
Maintain event timelines, budgets, and task lists; follow up with stakeholders; and address issues that could affect execution.
Coordinate with external vendors, venues, speakers, and partners throughout the event planning process.
Suggest improvements to event formats, attendee engagement, and the overall event experience.
Support post-event activities, including attendee follow-ups, lead coordination, feedback collection, and basic performance reporting.
Assist with day-to-day operational and administrative tasks.
Help coordinate internal meetings, team activities, and other operational needs.
Support improvements to internal processes and team coordination.
