About The Position

The Events & Operations Manager provides critical event-related operations and logistical support to the Events team and Executive office. This role manages smooth day-to-day operations, efficient internal communications, and accurate documentation and scheduling. The Manager is responsible for ensuring efficiency in event and executive operations, facilitating effective communication across the organization, and supporting event logistics from planning through execution. This position plays a critical role in advancing organizational priorities by ensuring alignment, accuracy, and professionalism in performance of all duties. This position is ideal for an organized, proactive, and detail-oriented professional who thrives in a dynamic, mission-driven environment and brings strong problem-solving skills, discretion, and the ability to manage multiple initiatives simultaneously.

Requirements

  • Equivalent professional experience required.
  • 4+ years of progressively responsible experience in executive administration, operations, or event management.
  • Must exercise discretion and maintain confidentiality of information related to the company and its employees.
  • Demonstrated ability to manage complex projects and priorities with minimal supervision.
  • Exceptional organizational skills, problem-solving, and time management skills.
  • Strong written and verbal communication skills with a high level of professionalism.
  • Advanced proficiency in Microsoft Office, virtual meeting platforms, and CRM/event platforms (e.g., Salesforce, DonorDrive, or similar)

Responsibilities

  • Plan, coordinate, and execute Foundation events, ensuring alignment with organizational goals and brand standards.
  • Manage vendor relationships, contracts, and deliverables, ensuring timely performance and cost-effectiveness.
  • Oversee event registration systems, reporting, and attendee communications using online platforms.
  • Direct logistics, including travel, lodging, shipping, and on-site execution for staff and volunteers.
  • Maintain and manage inventory of event materials and collateral.
  • Manage complex calendars, coordinate meetings, and oversee logistics for executive and Board of Directors engagements.
  • Support on-site leadership at events, including setup, operations, and post-event breakdown while troubleshooting issues in real time.
  • Serve as a liaison across internal teams and external stakeholders, ensuring timely and professional communication and exercising discretion and independent judgment in managing priorities, communications, and scheduling.
  • Establish and maintain systems for digital file management, ensuring organization, accessibility, and strict confidentiality of sensitive information.
  • Oversee expense tracking, invoice processing, and credit card reconciliation with accuracy and accountability.
  • Support governance processes by coordinating Board and Leadership Team materials, timelines, and documentation.
  • Independently manage special projects and initiatives assigned by executive leadership.
  • Drive process improvements to enhance efficiency in executive and event operations.
  • Anticipate organizational needs and proactively develop solutions to support strategic priorities.
