About The Position

The Manager, Facility & Events Operations at the University of Delaware is a valued member within the University and Department of Athletics and Recreation Services, upholding and embracing the department mission of Achieving Excellence Together. Under the general direction of the Sr. Associate Athletic Director, Facilities, Operations & Capital Projects this position will be responsible for assisting with the coordination of a variety of events that total 350 annually to include Varsity Competitions, Club Sports, Intramurals, External and Internal Events. The incumbent will oversee the department guest services program and play an integral part in the administration of athletic facility rentals. The incumbent will collaborate with others in the department for projects and/or events and be assigned other duties as needed.

Requirements

  • Bachelor’s degree and three years of direct administrative experience, or equivalent combination of education and experience.
  • Experience managing events and projects, preferably in a higher education environment.
  • Experience working with budgets, tracking budgetary expenditures, and providing budgetary controls.
  • Careful judgment and discretion with respect to strategic and confidential material, flexibility, efficiency, and the ability to prioritize tasks and meet deadlines for a wide variety of assignments.
  • Skill in organizing resources and establishing priorities.
  • Skill in personal computer use and software applications, including database, spreadsheet, presentations, and word processing.
  • Effective organizational and coordinating skills, including the ability to effectively manage time and schedules and foster a cooperative work environment.
  • Ability to work autonomously and demonstrate excellent judgment in decision-making.
  • Excellent interpersonal and effective oral and written communication skills with the ability to work effectively with a wide range of constituencies in a diverse community.

Responsibilities

  • Independently approving facility rental agreements and operational plans.
  • Assist with negotiating contracts and service agreements.
  • Making budgetary decisions and allocating resources, exercising authority to commit university resources.
  • Partner with Events Managers in tracking, inputting, and reporting all expenses by event, with the Business Office in preparation of invoicing clients.
  • Complete bi-weekly miscellaneous wage event staff payroll.
  • Developing and implementing departmental policies.
  • Lead department guest services program, including responses to guest inquiries and issues.
  • Administer departmental events and staffing composite schedules.
  • Coordinate day-to-day updates, details and follow through on department events/projects underway, while responsible for status updates to team leadership.
  • Manage follow-up on action items with relevant team members and Senior Associate AD.
  • Collect meeting minutes and document action items logged at pre- and post-event meetings as well as other meetings as needed.
  • Build and sustain relationships with a wide variety of constituents across the Athletic Department and across the University.
  • Develop, maintain, and promote event & project management methodologies, standards, policies, processes, practices, tools, and templates to deliver process improvement and increased efficiencies for team or department-wide implementation.
  • Operate social tables program, google calendar and the University work order system as needed.
  • Serve in a support role for athletic competitions, external and internal events as needed.
  • Additional duties as assigned.
