About The Position

Families First is seeking a highly organized and enthusiastic Events & Engagement Coordinator to join our Funds Development team. Reporting to the Director of Donor Engagement, this position is responsible for the planning, coordination, and execution of Families First’s event portfolio, volunteer programs, and program-specific event support. The Events & Engagement Coordinator ensures seamless event experiences that deepen community engagement and advance the organization’s fundraising and mission goals.

Requirements

  • Must live in metro Atlanta.
  • Bachelor’s degree in a related field.
  • Demonstrated successful track record in event planning, nonprofit fundraising, customer service, and/or volunteer management.
  • Advanced level computer skills, including Microsoft Office Suite, database management (Raiser’s Edge), and nonprofit management software such as Canva, MailChimp, OneCause, and similar platforms.
  • Reliable transportation to visit venues, vendors, and sponsors.

Nice To Haves

  • Project Management Certification is a plus.

Responsibilities

  • Plan, coordinate, and execute all phases of Families First’s signature fundraising and engagement events, including Loving the Legacy, Jean Childs Young, Back-to-School Bash, Legacy Board/Builders events, and smaller events as needed.
  • Identify and support opportunities to grow the event portfolio, such as an 1890 Giving Society event, a Thanksgiving Event, and other new engagement opportunities.
  • Oversee venue selection, layout design, technical set-up, and on-site logistics for all events.
  • Collaborate with the Director of Donor Engagement and internal departments to ensure alignment of event objectives with the organization’s fundraising and mission goals.
  • Negotiate and manage contracts with vendors and suppliers, including venues, AV, photography, and catering, to secure favorable terms and pricing.
  • Cultivate and maintain relationships with key vendors throughout the year.
  • Ensure all vendors are invoiced and/or paid in a timely manner.
  • Manage all event registration and RSVP processes via online platforms and personal outreach.
  • Coordinate community partner participation in events, ensuring accurate guest information and a seamless attendee experience.
  • Gather and maintain attendee confirmation and guest information for each event.
  • Coordinate with the Marketing team on publicity, promotional materials, and print production for all events, including invitations, programs, signage, and digital content.
  • Manage all on-site event logistics, including decoration, layout, timeline, and staff coordination.
  • Direct event-day staff and volunteers to ensure smooth execution.
  • Manage all post-event follow-up activities, including invoice reconciliation, auction item stewardship, photo distribution, and attendee thank-you communications.
  • Steward all event supplies, ensuring proper organization and return to designated storage locations following each event.
  • Generate detailed post-event reports with key performance indicators (KPIs), return on investment, and recommendations for future events.
  • Support program-specific events across Families First’s service areas, including GACRS, TAPP, Chispa, and other program initiatives as needed.
  • Manage all aspects of volunteer coordination for events, including recruitment sign-up, orientation and training, on-site management, meal coordination, and post-event gratitude and recognition.
  • Maintain accurate volunteer records and ensure positive, mission-connected volunteer experiences.
  • Other duties as assigned.
