About The Position

The Events Coordinator supports the planning, organization, and delivery of firm events, assists with ticket allocations for client entertainment (including sporting, business, and philanthropic activities), and provides support to ensure smooth daily operations. The role contributes to the firm’s overall client experience by helping ensure that events, communications, and interactions are delivered with professionalism, consistency, and strong attention to detail.

Requirements

  • 2–5 years of experience in event coordination, administrative support, or a similar support-focused role (experience in professional services or a legal environment is an asset).
  • College diploma in Event Management, Hospitality, Administration, Communications, Business Administration, or a related field.
  • Equivalent combination of education and relevant work experience may be considered.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Bilingualism, French and English (oral and written) given the clientele, mandates, and international scope of the firm

Responsibilities

  • Prepare and format correspondence, reports, presentations, and event-related documentation.
  • Maintain organized records, databases, and filing systems
  • Assist with processing invoices, expense reports, and vendor payments related to events.
  • Support calendar management, meeting scheduling, and coordination activities.
  • Coordinate internal communications related to events and firm activities.
  • Contribute ideas and feedback to improve event-related processes and workflows.
  • Assist in the coordination of internal and external events (client receptions, conferences, seminars, networking events, firm retreats, etc.).
  • Support event logistics, including venue research, vendor coordination, catering, audiovisual needs, and preparation of event materials.
  • Help prepare event timelines, budgets, and run of show documents.
  • Provide support for personalized client-facing events and initiatives.
  • Track attendance, manage RSVPs, and help maintain guest lists.
  • Assist in ensuring events align with the firm’s client experience standards and brand guidelines.
  • Provide on-site support during events, including setup, registration, and troubleshooting as required.
  • Support post-event evaluations and contribute feedback to enhance future client experiences.
  • Assist with the distribution and coordination of firm-owned or sponsored tickets (e.g., sporting events, concerts, business and philanthropic events).
  • Support coordination with partners and internal stakeholders regarding client invitations.
  • Maintain and update tracking records related to ticket usage and client engagement.
  • Assist with logistics such as ticket transfers, seating arrangements, and client communications.
  • Support a seamless client experience from invitation through post-event follow-up.
  • Assist in ensuring compliance with firm policies related to client entertainment and expense reporting.
