Events & Conferences Specialist

Normal Computing Corporation•New York City, NY

About The Position

Normal Computing is hiring an Events & Conferences Specialist to present its hardware and applied AI work to customers, talent, investors, and industry leaders. The role is part of a scaling Communications and Marketing team and produces Normal-hosted events while coordinating the company’s participation in industry conferences and executive appearances. Reporting to the Head of Communications, the specialist owns hands-on event delivery from an approved brief through onsite execution and follow-up. The role also contributes ideas for hosted-event formats and activities and carries those ideas through production. It involves working with senior leaders, VIP guests, and production partners, while bringing structure to ambiguous work, anticipating needs, and responding to changing plans. The specialist manages operational coordination, vendors, event collateral, onsite logistics and delivery, representation of Normal at events, and post-event closeout. They coordinate with internal teams such as GTM, Talent, Design, Social & Brand, Media & PR, Finance, and Legal. Technical teams own demo content and readiness; Social & Brand leads the audience experience. Travel is required as needed for collaboration, conferences, and company-hosted events.

Requirements

  • Experience delivering conferences, events, or live productions; the posting indicates two to four years or equivalent demonstrated capabilities through another background.
  • Demonstrate events personally delivered and explain the part owned.
  • Use sound operational judgment, make sensible tradeoffs, and know when to act independently or escalate a decision or problem to the manager.
  • Show proactive ownership by anticipating problems, removing roadblocks, or recovering projects.
  • Communicate effectively with busy executive offices and producers, reassure nervous speakers, advocate for event needs while caring for people, and handle sensitive conversations with discretion.
  • Experience handling mission-critical events or live productions representing a brand to important audiences; explain personal ownership, response under pressure, and how quality, deadlines, and external relationships were protected.
  • Learn Normal’s technology and products sufficiently to understand event and demo requirements and ask useful questions.
  • Willingness to travel for team collaboration, industry conferences, and company-hosted events as needed.

Responsibilities

  • Maintain a central pipeline of owned and sponsored events, tracking schedules, staffing, production capacity, and resource conflicts.
  • Confirm event needs and prepare participants with GTM, Talent, and other internal teams.
  • Arrange venues and registration within the approved brief, with Social & Brand leading the audience experience.
  • Source event vendors, develop scopes and estimates, track spending against budgets, and coordinate contracts with Finance and Legal.
  • Work with Design and production partners on booths, signage, presentations, and branded materials; gather specifications, consolidate feedback, check proofs, and arrange production, shipping, and inventory.
  • Arrange hardware deployments, setup, and rehearsals; technical teams own demo content and readiness.
  • Handle speaker and VIP briefings, arrivals, and stage logistics, plus press schedules, preparation, and approved materials with Media & PR.
  • Drive onsite setup, run-of-show, and teardown; keep crews and participants ready and solve problems onsite.
  • Represent Normal at conferences and events, engage with external partners and stakeholders, welcome guests, discuss the company’s technology and products, build relationships, and connect people with appropriate colleagues.
  • Hand relevant contacts, requests, and conversation context to GTM, Talent, or the appropriate team for follow-up.
  • Coordinate returns, invoices, payments, refunds, and credits with vendors and Finance.
  • Capture attendee questions, results, and lessons for future events.
