About The Position

The Student Union, Inc. is a 501(c)(3) nonprofit auxiliary that maintains three major facilities at San José State University in downtown San José, California. These facilities include the Diaz Compean Student Union Building, the Provident Credit Union Event Center (PCUEC), and the Spartan Recreation and Aquatic Center. The Student Union, Inc. functions as part of the Student Affairs Division on campus, and is governed by a Board of Directors made up of a student majority, faculty, and administrators. Mission The Student Union, Inc. of San Jose State University supports the development, growth, and well-being of students and the campus community by providing diverse programs, desired services, and quality facilities to enhance the collegiate experience.

Requirements

  • 1 year previous experience in an office setting with proven customer service experience required.
  • Current First Aid/CPR/AED certification, American Red Cross preferred or obtained within six months of hire date. Online certifications will not be accepted.
  • Must be a matriculated SJSU student and continuously enrolled at least half-time during the academic term. Half-time is defined as follows: Enrollment Status Half-time Units Undergraduate and Post baccalaureate Students 6.0-8.0 hours/semester
  • Previous experience in an office environment with administrative duties, excellent data entry skills, ability to organized, manage multi-tasks, and meet agreed-upon deadlines.
  • Knowledge of program policies and procedures and ability to manage situations which require resolution and problem solving.
  • Ability to collaborate with other departments on multiple projects while staying focused and on task
  • Experience in computer applications such as: Google Suite (Gmail, Docs, Slides, Sheets, Forms, etc.) Microsoft Office (Word, Excel, PowerPoint, etc.).

Responsibilities

  • Serves as the first point of contact; answers questions, provides directions and assists staff, students and guests in-person, by phone and email in a positive and supportive manner.
  • Performs administrative duties, word processing, data entry, spreadsheets, compile reports, general office tasks, and small project work.
  • Works with student groups, campus departments, faculty, staff, and off-campus organizations in scheduling facilities for non-academic events.
  • Communicates with Event Services and Operations Staff as needed for room set-ups, equipment, and custodial needs.
  • Responsible for enforcing Student Union and University policies and procedures as they relate to the scheduling of non-academic events.
  • Assists professional staff with administrative tasks such as mail distribution, supply orders, preparing of forms, etc.
  • Assist with intake of money for facility use, rentals, and events as needed.
