About The Position

The Event Services Production Coordinator provides advanced technical and operational leadership for event production within the Rayburn Student Center (RSC). This position serves as the primary on-site production lead for assigned events and is responsible for the execution of audio-visual systems, lighting, staging, room configurations, and technical logistics for campus and external clients. The Coordinator ensures that all events are executed safely, efficiently, and in alignment with approved event plans, university policies, and client expectations. Working in collaboration with the Associate Director of Event Services, Building Operations, A/V Technology leadership, and campus partners, this role supervises student event technicians, maintains production equipment, ensures compliance with safety and risk standards, and supports high-profile institutional programs. The position plays a critical role in delivering a professional, technically sound, and student-centered event experience. Requirements

  • Bachelor’s degree in a related field OR equivalent combination of education and professional experience.
  • Minimum of two (2) years of experience in event production, audio-visual operations, or technical event management.
  • Working knowledge of sound system and lighting system design and operation.
  • Intermediate proficiency in Microsoft Office Suite.
  • Strong organizational, critical thinking, and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Customer service orientation with ability to manage high-pressure situations.
  • Ability to manage multiple priorities in a fast-paced production environment.
  • Ability to exercise professional judgment during live event troubleshooting.
  • Ability to lift moderately heavy objects and operate event equipment safely.
  • Ability to work evenings, weekends, and irregular hours as scheduled.

Nice To Haves

  • Master’s degree in Higher Education, Communication, or related field.
  • Two or more years of experience in higher education event production or facility operations.
  • Experience using EMS and room diagramming software (e.g., Social Tables).
  • Knowledge of video production, livestreaming, lighting design, and audio technologies.
  • Experience coordinating high-profile or large-scale institutional events.
  • Experience supervising part-time or student employees preferred.

Responsibilities

  • Event Production Management & Execution Serve as the primary on-site production lead for assigned events, overseeing load-in, setup, execution, strike, and post-event reset.
  • Interpret event specifications from EMS and ensure accurate implementation of all logistical and technical requirements.
  • Support advanced production planning for commencement, lectures, ceremonies, conferences, and institutional programs.
  • Conduct pre-event walkthroughs to confirm readiness, equipment functionality, and safety compliance.
  • Client Consultation & Event Design Meet with clients to determine event goals, staging needs, sound reinforcement, lighting, livestreaming, and specialty equipment requirements.
  • Translate client needs into detailed production plans and technical layouts.
  • Provide consultation on best practices for event flow, audience engagement, and technical feasibility.
  • Audio-Visual & Technical Systems Oversight Coordinate operation and maintenance of 70-volt distributed sound systems and high-energy multi-path systems.
  • Oversee lighting systems including DMX-512, analog, and Multi-Plex platforms.
  • Ensure proper configuration of microphones, projection systems, digital presentation interfaces, and livestream platforms.
  • Troubleshoot real-time technical issues with sound judgment and professionalism.
  • Student Staff Supervision & Development Supervise part-time student event technicians, providing leadership, delegation, and quality control.
  • Assist in recruitment, onboarding, and technical training of student staff.
  • Develop structured training modules in sound systems, lighting boards, digital presentations, and stage management.
  • Foster professionalism, accountability, and skill development within the student team.
  • Room Diagramming & EMS Administration Develop and modify detailed room diagrams using approved diagramming software.
  • Maintain accurate production notes and documentation within EMS.
  • Coordinate with operations and custodial staff to align room turnover and technical installations.
  • Risk Management & Safety Compliance Ensure all production activities comply with university safety standards, fire codes, and ADA requirements.
  • Assist in emergency response procedures including event shutdown and evacuation coordination.
  • Promote safe equipment handling and power distribution practices.
  • Inventory & Equipment Management Maintain inventory of microphones, cables, lighting instruments, staging, and specialty equipment.
  • Track equipment usage, identify wear or malfunction, and coordinate preventative maintenance.
  • Document labor hours and equipment usage to support billing and financial tracking.
  • Departmental Collaboration & Strategic Support Participate in team meetings and contribute to workflow and service improvements.
  • Collaborate with campus partners to enhance event quality and operational sustainability.
  • Perform additional duties as assigned in support of departmental goals and university priorities.
