Nice To Haves

  • Bachelor’s degree in Hospitality, Event Management, Business, or other applicable major
  • 2 – 4 years in event coordination, event venues, event industry, and/or related experience
  • Experience working with event logistics, coordination, and planning large events
  • Experience maintaining quality customer service and relationships with vendors, venues, and other related parties
  • Experience using event management software
  • Excellent analytical skills
  • Strong organization skills
  • Good presentation skills
  • Knowledge of AV technology

Responsibilities

  • Plan, coordinate, and execute high quality events, conferences, and trainings that reflect HDR’s professional standards and brand.
  • Responsible for logistics, vendor coordination, contract arrangements, and on-site coordination.
  • Perform all related activities to ensure the event is successful.
  • Work with other departments for the planning, coordination, and execution of meetings, conferences, and events of varying size and complexity.
  • Coordinate timelines, production schedules, resources, and deliverables to ensure events are executed on time and within scope.
  • Coordinate logistics including venue selection, room setups, audiovisual needs, catering, travel, lodging, and shipping of materials.
  • Serve as the primary on-site point of contact to ensure seamless event execution and a positive attendee experience.
  • Source, contract, and manage relationships with venues, hotels, audiovisual providers, catering partners, and other vendors.
  • Work with venue staff, on-site personnel, third-party vendors, and subcontractors during events.
  • Partner closely with internal stakeholders, leadership, and steering committees to gather requirements and align on event objectives.
  • Develop, track, and manage event budgets.
  • Process invoices, track expenses, and complete post-event financial reconciliation.
  • Oversee multiple meetings and projects simultaneously while maintaining high client satisfaction.
  • Maintain confidentiality of sensitive information discussed during meetings and events.
