About The Position

The Estimating Administrator is a highly organized, detail-oriented role that supports the preconstruction team. This position focuses on the administrative and coordination aspects of the estimating process, including managing bid outreach, organizing project documentation, and assisting with quantity takeoffs using estimating software. The ideal candidate is a strong communicator with solid Excel skills, capable of interacting professionally with subcontractors and internal teams. The right candidate can expect further training and growth as the preconstruction team grows.

Requirements

  • Strong administrative and organizational skills with high attention to detail
  • Proficiency in Microsoft Excel and general computer/file management systems
  • Comfortable making phone calls and communicating with external partners
  • Professional written and verbal communication skills
  • Ability to read and interpret construction plans (required)
  • Basic understanding of construction estimating concepts or willingness to learn
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Self-motivated with a proactive approach to problem-solving
  • Willingness to occasionally travel for site walks or subcontractor meetings (as needed)
  • Interest in career growth within preconstruction or estimating functions

Responsibilities

  • Coordinate subcontractor outreach for new projects, including calling and emailing vendors to solicit bids
  • Distribute plans, specifications, and project documents to subcontractors
  • Track bid participation and ensure timely responses from vendors
  • Follow up with subcontractors to confirm intent to bid and answer basic questions
  • Organize and manage incoming bids, ensuring all documentation is complete and properly filed
  • Assist in reviewing and leveling bids for completeness and accuracy
  • Utilize estimating software to support quantity takeoffs, counts, and basic cost comparisons
  • Help build internal estimates for benchmarking subcontractor bids
  • Maintain organized digital file structures for project documents and bid information
  • Support the Preconstruction Manager with administrative tasks related to estimating workflows
  • Communicate professionally via phone and email, representing the company to subcontractors
  • Coordinate efforts to ensure all outreach and bid management tasks are completed efficiently
  • Travel occasionally to complete sight walks
