About The Position

The Equipment Fleet Specialist is responsible for maintaining the yard, equipment, and inventory while supporting safe, organized, and efficient daily yard operations. The role manages equipment staging, rental inventory documentation, receiving records, and customer interactions, helping provide a high-quality experience for internal teams and external customers. The position involves inspecting, receiving, repositioning, cleaning, and staging rental fleet and generators; maintaining inventory records; and keeping the yard, vehicles, and forklifts clean and orderly. The specialist communicates with internal teams and customers, completes and stores required customer paperwork, and follows safety practices when handling loads and operating equipment. Work is primarily outdoors in all weather conditions and involves physical activity and movement throughout a busy yard. The employee works collaboratively with operations, sales, parts, and service teams, wears required PPE, and may need to work on call or after hours when needed. Other reasonably related duties may be assigned.

Requirements

High school diploma or equivalent.
Strong teamwork and collaboration skills and the ability to build positive working relationships.
High attention to detail, organization, and time management.
Ability to remain composed and communicate clearly in high-pressure situations.
Excellent interpersonal and customer service skills.
Comfort using mobile apps and systems such as Cat Inspect, DBS, and Teams for documentation and coordination.
Ability to work independently and as part of a team.
Willingness to work on call and after hours when needed.
Ability to pass a background check, physical exam, and drug screening.
Ability to work outdoors in all weather conditions and perform physical activity while operating equipment and moving throughout the yard.
Adherence to PPE requirements and safety procedures.

Nice To Haves

Prior experience in yard operations, equipment handling, or a related field.
Familiarity with construction equipment or generators.
Basic mechanical aptitude and ability to operate equipment safely and efficiently.

Responsibilities

Communicate effectively by phone, text, and email, responding in a timely manner and keeping internal teams informed.
Maintain accurate daily rental inventory and precise counts of cables, pigtails, hoses, ductwork, and related accessories.
Complete receiving records in DBS and send photos of received inventory to the Manager.
Perform required CAT inspections, including Yardman check-in and check-out inspections.
Receive and reposition new and used rental fleet and generators as needed.
Remove customer stickers from rental fleet.
Stage rental fleet for customer pickup, shift preparation, and nightly parts trucks within 30 minutes of internal notification.
Wash rental fleet placed in the wash line.
Keep the work area clean, organized, and safe; conduct daily yard walks to identify safety concerns, misplaced rental fleet, open doors, and damage.
Ensure vehicles and forklifts are clean and properly maintained.
Store electrical components in dry conditions as soon as possible, especially during or after rain.
Use appropriate lifting devices, secure loads correctly, operate forklifts and vehicles at safe speeds, keep loads low while traveling, travel in reverse when vision is obstructed, and use spotters when necessary.
Ask for assistance when needed and follow safety procedures to maintain a safe work environment.
Greet customers promptly and maintain a friendly, calm, and professional demeanor.
Clearly communicate machine readiness, preparation status, and timelines to customers.
Ensure required customer paperwork is completed, signed, and properly stored.
Work independently and collaboratively, balance multiple priorities, and address emerging issues.
Be available to work on call and after hours when needed to keep up with work demands.
