About The Position

Wasauksing First Nation is accepting applications for the Enrolment and Administrative Support position. This full-time, permanent position will perform an array of administrative duties and provide mid-level support to the Lands Manager and the Lands and Resources Team. In addition to ensuring effective and efficient administration of all facets of the Lands and Resources Office and issues relating to land management, the Enrolment and Administrative Support will be responsible for ensuring completeness of all incoming citizenship applications and preparation for Citizenship Committee meetings.

Requirements

  • Post-secondary degree/diploma in business/office administration or project management, or a minimum of three (3) years of experience in an office setting;
  • Experience working with Indigenous Councils, other First Nations, and/or cultural organizations;
  • Excellent communication skills, verbal and written;
  • Must be able to develop, implement, monitor, and evaluate progress of projects;
  • Strong computer literacy and demonstrated knowledge of various computer software;
  • Knowledge of the Wasauksing First Nation Land Code;
  • Valid Driver's License and a reliable personal vehicle
  • Willing to work flexible hours as required, including evenings and weekends
  • This position requires the individual to work with various families, youth and children. To protect children, youth and vulnerable persons, Wasauksing First Nation requires the individual to provide a vulnerable sector or criminal record check

Nice To Haves

  • Ability to speak, read and understand Anishnaabemowin (Ojibway Language) is an asset

Responsibilities

  • Provide quality and effective administrative support to the Lands and Resources Team, directing phone calls, emails, correspondences, schedules/appointments, dictation, minute taking, and other daily routines;
  • Become familiar with and maintain the Lands and Resources Office systems, ensuring compliance with all internal policies and procedures as well as any external requirements that may apply (information management, electronic/manual filing systems, inventories, communications, etc.);
  • Receive citizenship applications, ensure applications are complete, provide information regarding the Citizenship Code, and inform all applicants of the application procedure;
  • Provide low to mid-level financial administration and support;
  • Become knowledgeable of all aspects of the Lands and Resources Office and issues/activities/projects in relation to Wasauksing First Nation lands;
  • Assist with preparation of monthly and annual reporting as required (data entry/collection, drafting/editing, etc.);
  • Assist with organizing and coordinating meetings and events (information sessions, community engagements, committee meetings, etc.);
  • Attend relevant training as may be required;
  • Maintain a high level of confidentiality in all interactions;
  • Prepare monthly and annual program statistics, quarterly activity reports, and an annual report;
  • Perform other duties as necessary;
  • Adhere to all policies and procedures of Wasauksing First Nation and any other relevant policies and procedures from external agencies and partners; and
  • Perform other duties within the scope of the position as assigned by the Manager or Supervisor.
